This role requires discretion, confidentiality, effective stakeholder management and an ability to operate calmly in a fast-paced environment whilst introducing process discipline, structure, and organization across a range of administrative areas with a senior audience.
Your day to day
- Provide daily support to the Senior Vice President of our Consumer Engineering organization.
- Engage in proactive and real-time engagement, building rapport and trust, and communicating via leaders preferred methods.
- Understand the priority of asks from your leaders, ensuring you react to their expectations.
- Manage leaders daily schedule and prioritize meetings. Follow up on request items.
- Anticipate needs and take initiative to solve problems independently.
- Organize and maintain complex calendars using a high level of tact and integrity. Will need to know how to schedule meetings across multiple time zones and stakeholders.
- Project manage all logistics for team meetings, off-sites and events.
- Make complex travel arrangements expeditiously and accurately.
- Prepare and track expense reports.
- Proactively identify opportunities to make the overall leadership team more efficient over the long term.
- Follow up on action items on behalf of the executives, as appropriate.
- Proactively provide leaders with updates on task progress and completion.
- Exercise good judgment and discretion, as well as professionalism, when communicating or responding to situations requiring solutions.
- Be an active member of the Consumer Engineering executive assistant team and participate in team meetings.
- Help provide coverage when Consumer Engineering team executive assistants are out of the office.
- Handle special projects as they arise.
What do you need to bring
- 3+ years relevant work experience supporting the Senior Vice President level or above in a complex and dynamic environment.
- Highly organized with an ability to demonstrate meticulous attention to details, adaptability, flexibility, resourcefulness, and efficiency.
- Demonstrated ability to work with a sense of urgency and under pressure, as needed to handle multiple tasks and prioritize effectively.
- Experience in handling a wide range ofadministrative-relatedtasks, organizing large meetings across time zones and arranging travel.
- Demonstrated ability to take the initiative to spot problems before they arise, find solutions, and provide timely follow-through on projects.
- Self-starter and self-directed: understands the needs of the executives and proactively helps and addresses gaps and opportunities.
- Demonstrated ability to act diplomatically and respectfully when communicating with key internal and external customers and individuals of varying levels.
- High level of integrity required for handling sensitive and confidential information.
- Team player and comfortable working within executive assistant team dynamic.
- Flexibility to accommodate leaders global travel schedule.
- Proven competency using MS Office applications; Outlook, Word, Excel, and PowerPoint.
- Excellent communication skills (both written and oral).
- Passionate about PayPal with a strong understanding of our products.
- Ability to work with employees of all levels within company, vendors and visitors.
- Bachelor’s Degree or equivalent, preferred.
