Required/minimum qualifications

  • 2+ years Administrative, Business Support, and/or customer service experience.
  • 2+ years of experience working in an Executive Business Administrator role supporting Senior Director level leadership or above.
  • 2+ years of experience working in Microsoft 365 (Outlook, Teams, Excel, PowerPoint, OneNote) enabling efficient workflow coordination and data management.
Additional or preferred qualifications
  • 3+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
  • Associate's/Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
    • OR equivalent experience.
  • 1+ year(s) experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
  • Track record of being proactive in anticipating needs and independently making administrative decisions.
  • Ability to maintain thorough oversight of tasks and deliverables, ensuring things do not fall through the cracks and commitments are fulfilled on time.

  • 2+ years of providing effective written communication and leveraging analytical skills to craft executive-ready materials, reports, and correspondence with precision and clarity.

  • 2+ years of experience working in Microsoft 365 (Outlook, Teams, Excel, PowerPoint, OneNote) and internal enterprise platforms, enabling efficient workflow coordination and data management.


Business Support ATR-C - The typical base pay range for this role across the U.S. is USD $25.10 - $43.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $35.72 - $51.11 per hour. Certain roles may be eligible for benefits and other compensation.

Responsibilities
  • Manage complex calendars with precision, ensuring alignment with strategic priorities and proactively resolving schedule conflicts.
  • Track and report on key administrative metrics (e.g., budget accuracy, onboarding efficiency, meeting readiness) to demonstrate impact.
  • Reconcile and approve expenses in a timely and accurate manner, including interim approvals for team expenses.
  • Partner closely with executive admins, business managers, and operations leads across M+BP, Marketing, and adjacent teams to drive alignment and execution.
  • Coordinate logistics for onsite and offsite meetings and events including team meetings, morale events, team training, and leadership offsites.
  • Support headcount management, maintain org charts, and manage distribution groups.
  • Oversee onboarding logistics and ensure seamless provisioning of tools and resources to enable productivity from day one.
  • Actively contribute to team culture and cohesion.
  • Ensure compliance with administrative operations policies and procedures.
  • Provide occasional support to other executive leadership as needed.
  • Identify opportunities to improve operational efficiency and help define strategic processes.
  • Take on special assignments and projects as needed.
