TitlAssistant & Project Coordinator (Temporary contract)
Duties and Responsibilities
- Executive Director, Business Lead IAIagenda.
- SupportExecutive Director, Business Lead IAIduring main events in Europe.
- Organize business travel and appointments.
- Compile reports to track expenses, invoices, requisitions creation (Atlas) and cost center allocations
- Contribute positively to a strong culture of business integrity and ethics.
- Act within confidentiality, compliance and legal requirements as well as within company guidelines
Project (s) coordination:
- Organize IAI offsites.
- IAI Budget Management, manage and control the budget allocated to the department, tracking expenses on POs, and ensuring cost-efficiency.
- Co-manage with theExecutive Director, Business Lead IAIcommunication within the department and Region Europe to have a clear and consistent communication among team members and stakeholders.
- Manage Team meetings (organize, track attendance, follow up on actions)
- Weekly IAI Team meeting (Morges)
- Monthly BUD meeting (IAI Business Lead & EU5 IAI BUDs)
- Quarterly Opzelura Brand Team meeting (in partnership with Morges Opzelura Brand Lead)
- Maintaining comprehensive project documentation, including reports and plans.
- Engage with stakeholders to gather requirements, provide updates, and ensure two way communication.
- Take on and lead ad hoc projects.
Requirements
- BA or equal by experience
- 7+ years experience working for a multi-national company in similar position.
- Well organized, willingness to solve problems and honor deadlines, reliable, perfect communication skills, and discretion & ability to handle sensitive information are a must.
- Excellent proficiency with Office software systems (Excel, Word, PowerPoint) and Outlook
- Fluent in English and French. German, Spanish, and/or Italian would be a plus
