Executive Assistant (Plymouth, MN)

In this role, you will operate as the Executive Assistant supporting the Senior Vice President, Business Leader for Image Guided Therapy Devices, performing administrative and planning responsibilities requiring excellent judgment and discretion.

Your role:

  • Proactively and independently perform the full range of executive administrative tasks which involve a very high level of responsibility and are of a confidential nature (calendar management, meetings, plan video/conferences, travel arrangements, expense report etc.); aligning activities and processes with the demands of the executives or departments.
  • Collaborate and coordinate with other Executive Assistants globally and across North America, sharing knowledge with a continuous focus on improvements in purpose of tools, processes, and approaches with others.
  • Navigate complex and detailed travel plans, itineraries, and documents for travel-related meetings (both domestic and international) and process related expense reports. Responsible for the department procurement cards and purchase orders processing.
  • Organize, coordinate and host meetings and events including pre-meeting setup, communicating agenda, note taking, tracking and follow up on identified action items.
  • Serve as a point of contact for team members and internal departments; respond to questions and inquiries, both written and verbal. Responsible for onboarding and offboarding team members.

You're the right fit if:

  • You’ve acquired 5+ years of experience in an executive assistant or similar role in a dynamic and global environment.
  • Your skills include:
    • Strong oral and written communication skills to create e-mails and announcements.
    • Experience working with external partners, customers, etc. in coordinating events and/or meetings.
    • Knowledge of administrative procedures and proficiency with Microsoft Office, Workday, Concur, Microsoft Teams etc., and willingness to learn new tools (preferred).
    • Ability to set priorities under pressure and manage time and workload independently.
    • Ability to exercise discretion and apply sound judgment in making decisions.
  • You must be able to successfully perform the following minimum Physical, Cognitive and Environmental job requirements with or without accommodation for this .
