This role requires communication and interpersonal skills, and the ability to work independently and professionally at all levels. In this role, you will work effectively within short time constraints, prioritize tasks and take appropriate action, and work without significant oversight or instruction to achieve results with a high degree of accuracy and attention to detail. This role requires complex scheduling skills, operational excellence, and effective use of data and business systems. Given continual exposure to internal and external executive leadership, the role requires professional presence and effective communication skills.

Required/Minimum Qualifications

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
  • 5+ years experience with complex executive travel management, international and domestic.

Additional or Preferred Qualifications

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
    • OR equivalent experience.
  • 5+ years of experience supporting a leader in a complex environment, understanding the director’s needs, and making appropriate decisions and requests on behalf of the director.
  • Demonstrated proficiency using Microsoft productivity tools including Outlook, Word, Excel, and PowerPoint AND experience using OneNote, SharePoint, Teams, or similar collaboration tools.
  • Knowledge of internal Microsoft tools such as Employee Central/HeadTrax, Microsoft Expense Tool, Microsoft Travel, iCIMS, MyOrder, or related.
  • Project and operational management skills including travel planning, calendaring and understanding the business to help the decision-making process.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $28.46 - $48.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $39.76 - $55.67 per hour.

Responsibilities
  • Complex schedule management and strategic time prioritization.
  • Demonstrate sound judgement and ability to prioritize the calendar, balancing internal, external, and executive engagement.
  • Exhibit executive presence and effective communication to engage with Microsoft’s leadership team and external executive leadership.
  • End-to-end complex domestic and international travel planning, including proactive adjustments to drive efficiencies.
  • Work closely on aligning the Rhythm of Business processes and operations with the leader’s calendar to ensure tight coordination of commitments.
  • Assist in the planning and execution of team meetings and events.
  • Flexibility to accommodate urgent schedule changes or requests that may require periodic calendar checks, as well as remotely supporting the director.
  • Collaboration and partnership skills with key internal stakeholders including, but not limited to: HR, Finance, Corporate, External, and Legal Affairs, and the leadership team staff members.
  • Participates in discretionary budget tracking (e.g., morale, hardware, supplies) and reporting (may include software licenses. Partners with Finance to own expense management including documentation (e.g., purchase orders [POs], receipts, tax award spreadsheets, statements of work, reclassifications), expense tracking, and policy compliance. Identifies and resolves expense and supply related issues (e.g., missing purchase orders, account imbalances) by communicating with senior leaders and Finance as applicable. May serve as interim approver for finance approvals. Contributes to and oversees planning, tracking, maintenance, and adjustment of equipment and inventory.
