Manage and maintain the Chief Development Officer’s calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and organize documents, reports, presentations, and other materials needed for meetings, presentations, and events.
Handle incoming and outgoing communications on behalf of the Chief Development Officer (emails, calls, etc.) with discretion and professionalism.
Act as a liaison between the Chief Development Officer and other internal or external stakeholders.
Administrative Tasks :
Coordinate and prioritize requests, handling time-sensitive matters and delegating tasks when needed.
Prepare and manage meeting agendas, record meeting minutes, and follow up on action items.
Organize and maintain filing systems, both electronic and physical, ensuring easy access to critical information.
Handle confidential information with utmost professionalism and integrity.
Travel & Logistics:
Arrange complex travel itineraries, including flights, accommodations, ground transportation, and special requests for both domestic and international trips.
Track expenses and prepare travel-related reports as necessary.
Project Management:
Support Chief Development Officer with key initiatives, including gathering information, tracking progress, and helping manage deadlines.
Prepare reports or presentations for key meetings, ensuring timely delivery of materials.
Event Planning:
Coordinate company events, meetings, conferences, or other executive engagements, including logistics, travel arrangements, and accommodations.
Requirements
2 years of experience in an administrative support role (Executive Assistant, Personal Assistant or similar), preferably supporting C-suite or senior executives.
Excellent organizational and multitasking skills with the ability to manage complex schedules and priorities.
Strong verbal and written communication skills, with a high level of professionalism and discretion.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Suite, and other office productivity tools.
Exceptional attention to detail and problem-solving abilities.
Proactive and self-motivated with a positive attitude. Ability to work independently, take initiative, and collaborate effectively with various departments and teams.
Knowledge of office management systems and procedures.
Familiarity with travel coordination, event planning, and expense management.
Willing to work out of our office in NYC 4 days per week
Adaptable and flexible in a fast-paced, dynamic work environment. Experience working at a startup is a plus.
Strong interpersonal skills with the ability to interact with senior leaders, clients, and other stakeholders.
Bachelor's degree or equivalent work experience preferred.
Compensation Range for New York Based Hires
$85,000 - $110,000 USD
