Job Description

The Logistic & Distribution Specialist/Team Leader is responsible for supply chain and logistics functions, which may include, but is not limited to, demand planning, material procurement, production planning, inventory control, outsourcing, vendor selection, and distribution.

Control, proactive monitoring and communication with the worldwide manufacturing plants and third-party suppliers to ensure optimal availability of our products

Demand planning/forecast of our products in close cooperation with the product managers and the finance department, as well as support in financial reporting and forecasting and budgeting of the supply chain management

The Logistic & Distribution Specialist focuses on continuous improvement of the movement of materials through various production processes. The jobholder promotes alignment by understanding and communicating customer needs and requirements throughout the organization.


Job Description andResponsibilities:

1) Demandplanning:

  • Organizes monthly sales forecast meetings with national sales managers (NSM)individually

  • Supervisor of IDP forecasting tool checking sales forecastuploadsfor the next periodin SAP

  • Compares demand forecast and budget – highlights discrepancy toNSM

  • Ensuring an optimal flow of information and materials

  • Support and analysis of the Distribution & Logistics (D&L) function to understand the drivers and thus continuously improve process efficiency and quality of performance

2)Supply planning & Stockmanagement:

  • Monitors the stock level (overstock, low stock) and the expiry dates of theproducts wit special care on IQV

  • Places fill-up orders to maintain a sufficient stock level of the manually orderedproducts

  • Maintains contacts with productionsites

  • Performs a verification of the shipping documents for the shipments upon request (uploads the certificates to website, checks POD and invoice, analyzes discrepancy and takes necessary actions)

3)3PLmanagement:

  • Ensures proper communication with the warehouse about customer’s shipment, issuing and forwards them delivery notes

  • Maintain SOP’s on our Company standards level

  • Understands and reacts on incident that might happen (under-delivery, over-delivery, damagesetc.)

  • Participates on the yearly wall-to-wall

  • Checks the invoices received from the third-party logistics service provider on monthly base regarding their services and submits the final invoice to the competent manager for approval/payment

Reporting:

  • Submits all pre-defined monthly/weekly reports and gives support to all stakeholders upon request (regarding the goods flow, inventory level, overstock, out of stock, lost sales, backorder, obsolete monitoring)

  • Manages year-end data submission to Finance (inventory, scrap, FOC, transfer prices, fill up relatedinvoices);

Customersupport:

  • Provides necessary information to customers and notifies them regarding any sales related information (out of stock, price list, actual sales information, sales promotions etc.)

  • Receives customer orders and provides a full support for booking orders into system\preparation of the shipping documents for the shipment for each customer (allocation checking with NSM)

  • Sends order confirmation to customer, including out-of-stock and next-availabilityinformation

  • Sends the signed final invoice to customer bypost

  • Handles customer complaints not related to active ingredients, clarifying the claim and informing CORA, NSM andBU

  • Handles full administration of tenders andpromotions

  • Performs credit limit releaseprocess

  • Ensures contacts with wholesalers to agree on the annual targets in cooperation with L&DDirector

  • Manages the administration of the wholesalers’ discounts and rebates (including calculation of returns, paybacks) in line with their annual contracts

  • Archives and documents commercial agreements and special deals with wholesalers (including calculation of returns, paybacks)

  • Develops customer focus to maximize customers’

6)System & Othertasks:

  • Creates new product masterfile

  • Creates and maintains new customeraccounts

  • Fulfils any other additionaltasks

  • Achieves individual developmentplan

  • Establishes, maintains and identifies potential improvements to working practices and procedures to enhance efficiency, cost-effectiveness and productivity.

  • Identifies opportunities and makes recommendations in order to contribute to the continuous improvement of decisions and processes

7)Organization & PeopleManagement:

  • Defines responsibilities and sets performance standards for the ownteam

  • Ensures all direct reports receive adequate training to enable superiorperformance

  • Coaches and develops the own team by giving honest feedback regardingperformance

  • Motivates all direct reports by giving appropriate reward and recognition for majorachievements

  • Identifies, selects and recruits the rightpeople

  • Ensures that all activities are in line with compliance and our Company’s code of conduct including Vendors


Qualifications:

  • Bachelor’s or Master’s degree or any relevantexperience

  • Typically has minimum 3 years’ previous experience in relevant role at a multinationalcompany

  • Excellent command of English, both written andverbal

  • Computer literate with advanced skills in MS Office, especiallyExcel

  • SAP knowledge is anadvantage

  • Strong analytical and priority managementskills

  • Ability and willingness to keeplearning

  • A team player, who is able to workautonomously

  • Strong communicationskills
