In our team, we are looking for an
Administrative Specialistthat will be:

  • Responsible for the planning and coordination of the facilities activity, the supervision of the rational use of resources and the distribution of the budget allocated for the expenses of the department
  • Responsible for the preparing and sending reports specific to the coordination activity of the department
  • Responsible for coordinating the projects carried out on the site
  • Planning, organizing, and managing in an efficient manner logistics services, equipment maintenance according to internal processes and procedures
  • Responsible for managing the requests received and identifying suitable solutions
  • Preparing the necessary materials and supplies for the site
  • Identifying the needs of processes and procedures, initiating their drafting and sends them for approval
  • Responsible for participating in projects and fulfilling the related roles in the project according to the project plan
  • Optimizing the way of working to eliminate redundancy in the activity, ensuring the prioritization of works
  • Responsible for planning and managing small moves within the office
  • Responsible for equipping the meeting rooms according to needs
  • Monitoring, verifying, and evaluating the performance of subcontractors and recommends improvement actions, if necessary
  • Responsible for providing the correct information regarding the location, the building, the space, the occupied area, the number of occupants of the space in accordance with the rules of corporate governance within the Space management program
  • Responsible for the implementation and monitoring of energy/utility management processes
  • Identifying vulnerabilities, propose and implements measures to minimize risks and ensure quality standards regarding company safety

Is getting familiar and respects the:

  • documentation from the area of ​​responsibility (policies, objectives, manuals, operational procedures and work instructions, programs, plans, etc.)
  • legal requirements and other related regulations
  • instructions and procedures (methodologies) for the environment, occupational health and safety and emergency situations
  • the legislation in force that impacts the field in which it carries out its activity, processes, procedures, and work instructions
  • Makes proposals or notifications regarding the optimization of the activities in his area of ​​responsibility, as well as cost optimization, ensuring a high degree of customer satisfaction
  • Being responsible for clarifying his own attributions and taking all steps to ensure that he understands the processes and acts accordingly
  • Transmits as soon as possible to the direct manager any event that occurs and is in his area of ​​responsibility
  • Ensures the security and confidentiality of the company's documents, information, and files to which it has access for performing current tasks
  • Responsible for maintaining the equipment and furniture on site, the order, and cleanliness at the workplace
  • Manages the site- infrastructure, general supplies
  • Provides a monthly preventive and corrective equipment report

Your toolbox:

  • At least 2 years of experience in administrative management
  • University studies

Competencies:

  • Very good English communication skills
  • Very good skills in Windows using Outlook, Word, Excel, and PowerPoint
  • Organized, has attention to details, self-motivated and proactive
  • Have innovative thinking, know to makes ideas into action
  • Sourcing and Supplier management knowledge
  • Very good ability to work well with others
  • Excellent interpersonal & communication skills.
  • Demonstrated ability to perform multiple tasks while meeting deadlines
  • Work under pressure in a fast-paced, demanding environment while maintaining/improving quality performance levels
