As a Team Administrator reporting to the EMEA Controller (Schiphol-Rijk), you will support the EMEA Accounting & Control organization (Schiphol-Rijk, Helsinki, Frankfurt, Warsaw, Milan, Tel-Aviv, Madrid), as well as the EMEA Tax department (Schiphol-Rijk) and the EMEA Legal department (Paris, Milan), serving as a central point of contact for several functions.
Here is how, through this exciting role, YOU will contribute to BMC's and your own success:
  • Provide support related to purchase requisitions and vendor invoice management in financial/procurement systems, including preparation of requisitions, monitoring of required approvals, management of purchase orders/available funds, and escalations where necessary.
  • Coordinate with the EMEA Corporate Secretarial Services provider, including managing activities related to change requests, signature requests and related activities (notarization, apostille, etc.), maintenance of the corporate compliance database and cost management.
  • Maintain the EMEA country-specific policies for record retention in compliance with local laws and guide the process of annual document destruction for the various departments in compliance with the policies.
  • Provide support for various other activities, which include but are not limited to: requesting legal- and tax-related documents from governmental organizations; supporting the EMEA Accounting & Control organization; reviewing and coordinating document signature requests with the EMEA authorized signatories; arranging travel, including administrative tasks like arranging visas, coordinating team meetings; and pro-actively working with the teams you support to identify additional requirements.
To ensure you are set up for success, you will bring the following skillset & experience:
  • You have 5+ years of administrative support, preferably within an accounting/finance department.
  • You have preferably an understanding of basic accounting terminology, as well as audit and compliance documents.
  • Mastery of the English language.
  • Good knowledge of Microsoft Office products.
  • You have an eye for detail, diplomatic and able to discretely handle confidential information.
