The Executive Assistant to the Board of Directors will work closely with the Director of Board Operations and the Corporate Secretary to ensure that all logistical needs are met for the Board and associated committees. Key responsibilities will include acting as the primary support for administrative needs, including scheduling, management and storage of electronic records, and record keeping. Additional responsibilities will include coordinating activities across multiple stakeholder groups both internally and externally, timely collection of materials for meetings, and coordinating event and travel logistics for board meetings and dinners.
Your day to day:
- Under the direct supervision of the Director of Board Operations, provides comprehensive and confidential support to, the Board Operations team, the Corporate Secretary, PayPal’s board of directors, board committees, and those of its affiliated entities.
- Manages complex scheduling including the maintenance of a multi-year board and committee meeting calendar. Schedules appointments for directors and maintains meeting calendars for the Board Operations team.
- Assists with event planning and coordinates logistical arrangements for the quarterly board meetings, dinners, and off-site meetings. This includes researching venues, media requirements, catering, and clean-up.
- Manages the Board’s complex travel logistics including hotels, flights, ground transportation, and director reimbursement process.
- Maintains excellent communication with board members and their assistants. Communicates key meetings, events, invitations, and information in a timely manner. Provides exemplary customer service in response to all internal and external stakeholder requests.
- Oversees and administer the appropriate storage (electronic and physical) of and access to board related documents, minutes, and agendas.
- Assists with the drafting, editing and proofreading of Board Operations communications.
- Maintains a strong working relationship with executive management and their assistants.
- Assists the Director of Board Operations with researching and responding to requests for board-related information.
- Maintains board orientation binder, board databases, board lists, board policies, new member orientations, board affiliation lists, and online board resources.
- Assists with board documentation and reporting requirements.
- Coordinates and obtains signatures from directors, officers, and executives for resolutions as needed.
- Performs general clerical duties including, but not limited to, photocopying, scanning, mailing, and filing.
- Performs other duties and responsibilities as required or assigned by the Director of Board Operations or Corporate Secretary.
What do you need to bring-
- Highly organized with a demonstrated ability to work under pressure, balance competing and shifting priorities, accomplish objectives, and meet deadlines.
- Extremely high attention to detail.
- Minimum of 10 years of progressively responsible experience as an executive assistant, with at least one position supporting a CEO or similar C-Suite executive.
- Experience working with a public company board is highly desirable.
- Exercises a high level of discretion around topics being discussed by the Board which may impact employees or the company.
- Demonstrated ability to work productively and manage time effectively, both independently and in a team
- Ability to determine and plan project timeframes, procedures, and resources for accomplishing projects.
- Strong interpersonal skills. Confident and comfortable communicating with high-profile individuals, and a strong collaborator able to build partnerships with other groups in support of shared objectives.
- Ability to write clear and effective correspondence, written materials, presentation materials.
- Experience collaborating with diverse teams and a wide variety of stakeholders.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- California Notary License required within 12 months of hire and maintained thereafter.
- Proficient in Microsoft PowerPoint, Word, Excel, Outlook, and Adobe Creative Suite
- Proficiency in with a board portal is preferred but not required
- Proficient with general office equipment (copiers, scanners, fax machines, postage machines)
