CRITICAL RESPONSBILITIES
The Lead Executive Administrator will provide high-level daily administrative duties and a broad variety of administrative tasks. Specific responsibilities will include:
- Manage the calendar and operating system and proactively prioritize and organize time using expert professionalism, sound judgement and extreme discretion.
- Work closely and collegially with other C-Suite administrators, including the office of the Chairman, the office of the CEO.
- Arranging intricate and detailed travel plans and forecasts for both domestic and global travel.
- Arrange onsite meetings for visitors and greet scheduled visitors.
OTHER RESPONSIBILITIES
- Manage complex expense and purchasing reports, preparing other miscellaneous reports/logs, and handling general information requests.
- Arranging conference calls and global meetings.
- Paying bills and ordering supplies.
- BAP Based Projects.
- Performing office management functions including maintaining files, managing incoming and outgoing mail.
REQUIRED EXPERIENCE & QUALIFICATIONS
- A minimum of 5 years of experience providing administrative support to C-suite Executives.
- Demonstrated experience scheduling appointments, updating calendars and coordinating global travel
- Proficient computer skills including mastery of Microsoft Office Suite (Word, PowerPoint, Excel, and Office 365)
- The ability to present ideas effectively both verbally and in writing.
- A desire and comfort level in managing competing priorities in a fast-paced environment.
- Excellent time management and prioritization skills
- Pro-active planning and organizational skills.
- Self-motivated and displays initiative to solve problems and create improvements where needs exist
- Detail orientation to ensure high quality work, thoroughness given sensitive nature of the work
- High level of dependability and integrity in ensuring confidentiality is maintained
- High energy level, work ethic, and passion to excel
- Required to work hybrid work schedule in line with C-suite Executive requirements
