The Document Control Specialist assists the Document Control Manager in ensuring compliance with internal procedures and regulatory requirements. This position is responsible for establishing document control procedures and validating the current filing protocol for projects in the planning, design, and implementation stages. It also develops and manages document protocols for versioning documents, archiving documents, and retrieving documents.

Responsibilities:

  • Manage review timelines and keep the project team on schedule.
  • Attend/manage project meetings, including managing agendas and minutes.
  • Maintain project logs, including submittal logs, change logs, and task lists.
  • Review contract documents and maintain document control processes to ensure compliance with requirements.
  • Coordinate project deliverables' development, review, submission, and approval process.
  • Manage project deliverable submission process in line with contract requirements.
  • Assisted in document control and quality assurance and control process for all project documents, including submittals, contract changes, correspondence, design documents, reports, meeting minutes, and other records.
  • Maintain document control/change control database systems.
  • Distribute documents and maintain controlled distribution lists.

Skills:

  • Ability to analyze and solve problems related to document control, management, versioning, archiving, and retrieval.
  • Possesses outstanding computer skills, including proficiency in MS Office productivity suite (Excel, Word, Access, PowerPoint, Outlook, etc.).
  • Able to operate large and small format plotters, printers, scanners, etc.
  • Proficient in understanding and using relational databases.
  • Understand and implement the requirements for maintaining project record documents according to the contract.
  • Validates the client's filing protocol process and recommends opportunities for the system to become more effective and efficient.

Requirements:

Bachelor’s degree in engineering, construction management, or a related field.

  • Proficiency with MS Word, Excel, Oracle, Outlook (or another information management software)

  • Ability to read and interpret contract requirements and specifications for documentation.
  • Ability to read engineering drawings and documentation to extract information about documentation scope of supply and schedule.
