What you’ll doAs a Workplace and Employee Experience Manager, you’ll be owning the NYC workplace operations and employee experience. The office is our US hub and is where many of our C-suite work, including our CEO. This is a highly visible, high-impact role where you can help shape the employee experience and workplace culture. You’ll be a key player in day-to-day office management, event planning, workplace projects, and space planning. This role also includes partnering with the global team on special projects, including company-wide events. Additionally, you’ll be providing executive support to a few executives, overseeing their day-to-day administrative and operational needs.
Workplace & Employee Experience- Design, develop, and implement engaging events and activities throughout the year to promote employee engagement across the US teams
- Engage with employees and managers to ensure their workplace needs are met, and identify new initiatives to elevate the employee experience both in the physical office
- Partner with the People team and the IT team to support onboarding new hires
- Assist with on/off-site event coordination including A/V, catering needs, cleaning, and security
- Own internal communications related to the workplace, including a monthly newsletter; generate creative and engaging messages, including written copy, visuals, and multimedia
- Be an active ambassador for Fireblocks core values
Facilities- Ensure the NY office's effectiveness, which includes but is not limited to keeping all office equipment up-to-date, managing installations and repairs, ensuring the workplace is clean, organized and provides a warm and welcoming environment
- Serve as the New York onsite point of contact for vendors, including catering, cleaning services, electricians/plumbers, and all contractors needed to run the office; research vendor options and aid in the negotiation process
- Ensure that the workplace supports the health and safety of all employees and visitors and that all activities are in accordance with local laws and codes
- Routinely look for opportunities to reduce maintenance expenses and ensure documentation and contracts are organized and systematically reviewed
- Support and manage all service contracts such as shipping, security, pest control, and cleaning
- Support the workplace budget preparation and financial planning
Executive Admin / Special Projects- Calendar management for executives with regard to their time management, prioritization, delegation, and organization
- Provide highly integrated support for executive and help to optimize their teams and direct reports
- Own and manage ad-hoc projects, events, and travel arrangements as needed
- In coordination with executives, engage with building management, vendors, and architects as needed
Minimum Requirements / Expectations- 3-5 years of administrative / workplace experience and operational experience at a quickly-scaling or large company; ability to work autonomously and prioritize tasks on a day-to-day basis
- Experience interacting with all levels of staff from C-level executives to investors in a fast-paced, changing environment while remaining flexible, proactive, resourceful, and efficient
- Strong organizational skills, with superb attention to detail and a strong ability to execute; experience optimizing processes to make them more efficient
- Excellent time management skills and experience handling everything with a high level of professionalism and confidentiality; communicate, perform, and react well under pressure or in ambiguous situations
- Experience with handling sensitive information and situations with care and confidence
- Experience working in a proactive environment with the ability to anticipate and respond to the needs of others before problems arise
- Experience as an Executive Assistant is preferred
- Experience in a high-growth technology startup is a plus
For employees hired to work remotely from New York, or from our NYC HQ, Fireblocks is required by law to include a reasonable estimate of the compensation range for this role. This range is specific to New York City and takes into consideration a wide range of factors that are reviewed when making a hiring decision, such as years of experience, skills, and other business needs.
It is not typical for a candidate to be hired at or near the top of the pay range and each compensation decision is dependent on each individual case. A reasonable base salary range estimate for this position is $91,000 - $119,000. The base salary is one component of the total compensation package, which for some roles may include a target bonus, a very competitive equity grant, and very generous benefits.
