What You’ll Do
Manage several Google calendars including vetting, prioritizing, and providing recommendations
- Maintaining the calendar for accuracy and free of conflicts
Help ensure leaders are properly prepared and on time for all meetings.
Assist with the scheduling of multiple stakeholder meetings
- Meetings with ELT management and Uber Board Meetings
- External Board meetings
Contribute to leadership meetings by taking notes and tracking action items
- Lead strategic projects to increase the impact of Trust & Security
- Work closely with the CLO EAs to align on meetings and events led by the Chief Legal Officer and back-up coverage as needed.
- Navigate the intricacies of supporting leaders remotely
- Assist with event planning and coordination for team meetings, all-hands meetings, and on/offsites
Make domestic and international travel arrangements
- Secure visas and update passports
Draft detailed travel itineraries with the help from local teams and provide remote assistance with logistics
- Follow up and provide reminders on project deadlines, AIs, and deliverables
- Assist with ensuring the timely review and submission of expenses
- Preview and provide feedback regarding team expense reports, and assist with managing leader’s or team’s morale budget
- May assist with the CLO EA program by helping with alignment, morale, training and development, and hiring
- Work cohesively with our internal business partners
- Have availability to come into the San Francisco office when needed
- Travel with team to an on/offsite yearly
- Be willing to aid in personal appointments and agenda to coincide with business needs
Basic Qualifications
- Minimum 6+ years of administrative experience
Preferred Qualifications
- Minimum 8+ years of administrative experience preferred
- Minimum 4+ years experience supporting a VP-level+ leader in a global firm
- Google Workspace, Zoom, Concur, Egencia, Slack
- Tech company experience
- Experience supporting multiple leaders
- Excellent communication skills with ability to build strong relationships with both internal and external stakeholders
- Demonstrated ability to prioritize leaders’ calendar with ability to make judgment calls and decisions based on rapidly shifting priorities
- Ability to manage and mentor the other EAs in the department.
- Proven ability to work in a fast paced, often changing environment with efficiency and accuracy
- Ability to take initiative and ownership over sometimes ambiguous tasks and situations with little oversight
- Strong organizational skills with a strong attention to detail
- Experience coordinating projects
- Critical to hold highly confidential information
- Bachelor’s degree or equivalent practical experience
For Chicago, IL-based roles: The base hourly rate range for this role is USD$45.92 per hour - USD$51.09 per hour.
For New York, NY-based roles: The base hourly rate range for this role is USD$50.97 per hour - USD$56.73 per hour.
For San Francisco, CA-based roles: The base hourly rate range for this role is USD$50.97 per hour - USD$56.73 per hour.
For Washington, DC-based roles: The base hourly rate range for this role is USD$50.97 per hour - USD$56.73 per hour.
