Job Summary

The Office Administration will be based on Littleton, MA and will be Responsible for working in conjunction with other administrative personnel to perform a wide variety of general clerical work and administrative duties including research or technical duties.

What a typical day look like:

· Various tasks associated with data management including composing, formatting, amalgamating, processing, analyzing and interpreting data.

· Prepares reports and presentations as required.

· Organizes and maintains file system, and files correspondence and other records.

· Conducts research, and compiles and types statistical reports.

· Makes copies of correspondence or other printed materials.

· Orders and maintains supplies and required operational materials and gear, and arranges for equipment maintenance.

· Recommends changes to current methods, operations and procedures for assigned work.

· May order, maintain and dispense ESD supplies for organization in support of maintenance of ISO certification.

· May maintain time and attendance records for the department's personnel.

· May input customer's responses to the Customer Satisfaction Index (CSI). Prepares reports and presentations for weekly site meetings. Provides monthly and quarterly results to management and corporate.

The experience we’re looking to add to our team:

  • Training, or equivalent with experience in the use of computer applications
  • May require functional process knowledge
  • Bachelor of science and 0-3+ years work experience, or similar background
  • Use of the following tools may be required: Office Skills: typing, telephones, office software to include, word processing, spreadsheets, presentation packages and database systems. Requires the ability to type accurately.

What a typical day looks like:

  • Assist in the review of program proposals or plans to define time frame, procedures for accomplishing program, staffing requirements and allotment of available resources to various phases of program.
  • Confers with appropriate managers within Program Management, Operations and others to outline work plan and to assign duties, responsibilities and scope of authority, and to receive technical advice and resolve problems.
  • Drives and coordinates projects/activities with the Customer Focus Team (CFT) members to ensure program progresses on schedule and within prescribed budget, including facilitating the work/communication across different departments.
  • Prepares program reports and executive presentations for management, client, or others.
  • May assist in metric development and tracking for the program.
  • Occasional travel to customer locations.
  • Drive the team to look for continuous improvement activities that have an impact in the project timeline, cost or daily production activities
  • Follow up on shipments to ensure we meet site and customer guarantees without any delay and coordinate the team to any issue that could generate an impact.

The experience we’re looking to add to our team:

  • Typically requires a minimum of 5 years of related experience.
  • Demonstrates advanced functional skills which may be used to conduct on-the-job training and/or guide other employees.
  • Impacts the immediate to near-term direction and operational success of the function. Executes and may provide input to functional processes or technologies. Assists in achieving section/sub-function goals for a functional area. Demonstrates dedication to implement initiatives.

  • Maintain special catalogs or files for special projects.
  • Enter alphabetic, numeric or symbolic data from source documents into computer following format displayed on screen and enters necessary codes.
  • May be responsible for the inventory of products in order to assist the production team.
  • Provide outstanding customers service.
  • Provide support to managers and supervisors in terms of various process and status reports.

Knowledge / Skills / Abilities

Demonstrates functional skills. Requires basic competency related to function. Demonstrates basic functional process knowledge and participates in process. Has awareness of Flex techniques. To perform the major job responsibilities the use of the following tools may be required: Office Skills: telephones, data entry, office software to include word processing, spreadsheets, presentation package and database systems.

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.

What a typical day looks like:

  • Supervises production staff on work method and quality checkpoints.

  • Coordinates efforts of operations team by establishing procurement, production and engineering services policies and practices.

  • Leverages industry practices and applies to internal systems and processes.

  • Provides supervision and direction to subordinate staff and coordinates workflow within major work unit, including distributing work, disseminating information, assigning staff to cover for absences, providing technical assistance, answering questions, and resolving problems within the work unit supervised.
