is an administrative role responsible for scheduling, coordinating interviews including travel, extending offers, generating offer letters, making welcome calls to all applicants prior to their scheduled start date, background variance resolution, data entry and internal/external reporting.
Key Responsibilities:
- Contact applicants and hiring managers to coordinate and schedule interviews.
- Coordinate travel arrangements as needed.
- Book resources for interviews
- Generate and send offer letters/packages.
- Facilitate background investigations of new hires.
- Monitor background vendor activity and work in tandem with our vendors to complete applicant background/drug processing.
- Kick-off, perform, monitor, and complete onboarding activities.
- Communicate the decision of the applicant to all recruitment support groups by updating the applicant management database and sending out status notifications.
- Process management: Establishes, implements, and/or cascades process execution standards such as control points, internal timelines, quality audit guidelines, etc.; performs quality audits as needed Service delivery management: Creates the SLA reports and provides complete documentation on SLA waivers as needed; ensures all SLAs are consistently met; alerts the team to critical updates and potential risks in a timely manner.
- Operations reviews: Presents data and provides relevant input or updates for operational and account dashboards.
- Business continuity planning: Identifies practitioner back-up systems and communicates them to the Client.
- Process documentation: Creates process documents, job aids, and reference materials that accurately reflect the client-approved process execution.
- Audits: Supports business controls review activities by preparing, reviewing, and/or uploading required audit documentation within specified timelines.
- Ensures and manages own compliance to IBM and account deliverables, guidelines, and policies; manage own learning and development activities.
- Keep Applicant Tracking System (ATS) always updated.
- Perform other miscellaneous duties as required by management.
Required Technical and Professional Expertise
- Excellent communication skills in Spanish and English languages (At least level 2, working, or professional proficiency)
- 4+ years’ experience in recruitment administration (scheduling of interviews, onboarding, offers) and candidate selection process.
- At least 1 year experience in Human Resources and/or Staffing
- Recruitment Process Outsourcing (RPO) experience is a plus.
- Must be willing to work in Eastwood, Quezon City
- Must be willing to work in Rotational shift
Preferred Technical and Professional Expertise
