As a Senior Executive Assistant within our EMEA Currencies & Emerging Markets division, you will support senior stakeholders, demonstrating solid background as an Senior Executive Assistant, flexibility, confidentiality, and a strong work ethic. This role demands excellent time management, resourcefulness, diligence, and a focus on business and client deliverables.
Job responsibilities
- Manage advanced diary tasks by proactively handling internal and external meetings, conference calls, and organizing events such as Off-Sites, Town Halls, and Skip-Levels.
- Coordinate travel and entertainment by partnering with relevant groups to book arrangements, ensuring compliance with CIB/Firmwide policies.
- Handle client interactions by managing internal and external communications, coordinating department schedules and transactional activities.
- Process expenses by collaborating with teams to manage costs, enforcing policies, and ensuring timely handover of required information.
- Collaborate cross-functionally with business management and key stakeholders across lines of business (LoB).
- Utilize internal systems for accurate data entry, reporting, and information collation.
- Oversee administrative tasks such as managing distribution lists and technology usage.
- Integrate into the business by understanding group priorities and expectations.
- Partner with assistants across LoB to provide coverage as needed.
- Participate in PowerPoint presentations, projects, and training based on performance.
Required qualifications, capabilities, and skills
- Demonstrate language proficiency by being fluent in German and English.
- Build and maintain business relationships through professional client handling.
- Apply good judgment in diary management and understand competing priorities, manage time efficiently through effective scheduling.
