What You’ll Do
  • Coordinate vehicle scheduling, ensuring that vehicles are assigned to appropriate drivers and tasks efficiently. Monitor vehicle availability and usage to optimize fleet utilization and minimize downtime. Schedule and coordinate vehicle maintenance, inspections, and repairs to ensure the fleet's reliability and compliance with safety standards. Maintain accurate records of maintenance activities and repairs
  • Prepare and maintain documentation related to vehicle registration, insurance, inspections, and other compliance requirements. Generate regular reports on fleet performance, maintenance schedules, and other relevant metrics
  • Communicate with drivers to provide vehicle assignments, schedule changes, and maintenance updates. Address driver inquiries, concerns, and feedback in a timely and professional manner
  • Liaise with external vendors, suppliers, and repair shops to schedule services, order parts, and manage maintenance activities. Obtain cost estimates for repairs and services and track expenses
  • Maintain accurate and up-to-date records of vehicle information, maintenance history, and expenses in fleet management software or databases. Monitor fuel levels, vehicle accessories, and other inventory items related to fleet operations. Replenish inventory as needed and ensure accurate tracking
  • Assist in ensuring that fleet operations comply with relevant regulations, safety guidelines, and company policies. Assist in investigating accidents, incidents, and violations as needed
  • Provide administrative assistance to the regional fleet manager or team, including scheduling meetings, preparing reports, and managing correspondence. Adhoc requests from the team including sorting and shipping mail. Assist in coordinating driver training programs, safety workshops, and other educational initiatives
What You’ll Bring
  • Relevant certifications or additional education are a plus. Proven experience in administrative or coordination roles, preferably in fleet management or a related field
  • Strong organizational and multitasking skills. Excellent communication skills, both written and verbal. Proficiency in using computer software for data entry, record keeping, and communication
  • Attention to detail and ability to work accurately in a fast-paced environment. Basic understanding of vehicle maintenance and safety protocols
  • Ability to work collaboratively with various stakeholders, including drivers, vendors, and internal teams. Ability to travel Regionally up to 25% of the time
  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at a time
