Required/Minimum Qualifications:

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
  • Experience with Microsoft products and systems including Microsoft Office Suite and SharePoint.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $28.46 - $48.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $39.76 - $55.67 per hour.

Responsibilities

The Senior Executive Assistant will be responsible for:

  • Support CVP in person when CVP is in office (approximately 1 to 2 times per month)
  • Manage a complex executive calendar, ensuring accurate scheduling including meeting logistics, and strategic prioritization of meetings.
  • Proactively engages with leaders and key stakeholders/business partners to make decisions and cascade information as needed.
  • Build an understanding of what is critical to the business, allowing you to make the appropriate decisions which impact the leader’s time.
  • Work closely with the Chief of Staff on Rhythm of the Business (ROB) processes, ensuring tight coordination of Executive and Team commitments.
  • Arrange domestic and international travel, including flight itinerary, hotel, logistics and conference registration.
  • Submit accurate and timely expense reports for the Executive, and act as interim approver on all team expense reports, ensuring coding and cost center accuracy.
  • Headcount and PCN management across the SMB team
  • Event planning, including scheduling and logistics (not content) for all offsites and any other events sponsored by the CVP/Chief of Staff Team. Coordinate with event owner workback schedule and be onsite to assist with event logistics.
