You will frequently find yourself in the center of everything that pertains to the Executive and their team. The ability to adapt to constantly changing demands, take on new and unfamiliar tasks, and work collaboratively with other administrative professionals is critical. As the leader of an Administrative Assistant team, you will provide day to day supervision of the team, manage time, expenses and approvals for the Admins, and support their learning and development.
General Responsibilities:
Serve as an Administrative Partner to your executive to handle their administrative tasks, freeing up their time to focus on department and company goals
Manage daily calendars for your executives, demonstrate flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes
Arrange and reserve conference rooms, catering, audio/video and other essential services as needed for meetings and conferences
Coordinate travel arrangements and create expense reports in a timely manner using Capital One systems
Drive key team activities and events (such as all-hands meeting, team meetings, conferences, ordering supplies and social events)
As a supervisor of a team of Administrative Assistants, your responsibilities will include:
Management and day to day supervision of the team
Maintain a close partnership with the team to ensure that their administrative needs are being met
Ensure adequate admin coverage when admins are on PTO
Train and evaluate associates and take corrective action when necessary
Promote team learning and development
Lead team engagement activities
Manage time and expense processes and approvals for the team
Oversee all performance management activities on behalf of the admin team
Identify and implement process improvements
Drive compliance with best practices, insuring team compliance with internal business controls
Identify and resolve process breakdowns
Develop a detailed project plan to track admin performance and development
Report and escalate performance issues to management as needed
Additional project and process work may include events support and project support

Basic Qualifications:
High School Diploma, GED or equivalent certification
At least 3 years of Administrative experience
At least 3 years of experience in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) or Google Suite
At least 2 years of experience in People Leadership
Preferred Qualifications:
Bachelor’s Degree
At least 7+ years of experience as an Executive Assistant or Administrative Assistant in a fast-paced environment
At least 4+ years of experience in people leadership
At least 3+ years of calendar management supporting executives
At least 3+ years of meeting and event planning experience
Experience setting up video conference and Zoom/Skype technology for meeting users
Experience planning ahead and managing time effectively
Excellent written and verbal communications
Excellent organizational skills
