EY Administrative Staff - HCMC Office

You will provide comprehensive, quality administrative and support services for all of our EY members. You are responsible for maintaining day-to-day administrative operations of the office, providing prompt support and solutions to office and administrative matters, ensuring that the operations run efficiently and effectively.

Key Responsibilities

• Be responsible for maintaining a clean, organized and safe working environment
• Serve as a contact point for facility management, vendors and service providers.
• Coordinate and plan office events, employee activities or participate in office projects.
• Monitor and track company car usage, taxi billing, phone billing and other facilities bills
• Implement office policies and procedures to improve efficiency and ensure compliance with the Firm standards
• Responsible for maintaining office supplies, inventory and timely replenishment as required
• Ensure records, information and documents provided by vendors and service providers for payment purpose.
• Support visa, hotel and flight booking for expatriate when required
• Support event license obtainment when required

• Strong organizational and time management skills with the ability to prioritize tasks.
• Good English verbal and written communication skills.

• Strong interpersonal and communication skills

• Proficiency in MS office applications

• Ability to multi-task as well as work independently and under pressure

• Strong organizational skills and is also a team player

• Detail oriented and possess initiative

Qualifications

Bachelor’s degree in Business Administration, Secretary or related field.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).


Ideally, you'll also have

• At least 1 year of experience in administrative or assistant positions.
