General Summary:

  • Manage the contract discussions, the constructions, and all other items with regard to office rent/ office facility/ parking slots, by collaborating with HQ teams (e.g., SD Q-REF, Korea finance)

  • Lead the discussions for office renovation plans, relocation plans, facility related affairs as Japan representative

  • Maintain Emergency Operation as the Japan office manager, including 1) sending the natural disaster alert, 2) maintain fire drills and disaster prevention activities (e.g., keep blanket and food/water),

  • Manage the EHS related activities of Japan offices according to the advice from Global EHS leaders

  • Manage the Legal related activities of Japan offices according to the advice from Global Legal leaders (e.g., company chop management, the annual shareholder’s meetings and resolutions)

  • Manage the security related systems of Japan offices according to the advice from Global Security leaders

  • Manage the fire insurance and general liability of Japan offices according to the advice from Global Treasury leaders

  • Maintain office equipment, office supplies, Company Payment card management (Company credit card), employees’ Corporate Card management, mobile phone management

  • Maintain outgoing and incoming goods/ document operations (i.e., export compliance and import custom arrangement) with team members

  • Maintain the main contact point for the travel related venders (e.g., AMEX Travel agency, JAL, ANA) and handle the required system updates.

  • Support the vender registration process as the local hub

  • Drive the discussions of the company event (e.g., Japan company All-Hands-Meeting) as the lead of employee committee

  • Manage the team members (12 members)

Minimum Qualifications:

• Bachelor's degree and 3+ years of Office Administration or related work experience.

Associate's degree and 5+ years of Office Administration or related work experience.

High School Diploma or equivalent and 7+ years of Office Administration or related work experience.

*Completed advanced degrees in a relevant field may be substituted for up to two years (Master’s = one year, Doctorate = two years) of work experience.

lifications:

  • Bachelor's degree or above is required.

  • Work experiences in Admin operations for 7 years + is required.

  • Experiences about export compliance and import custom arrangement is a big plus.

  • Written and verbal English communication skills are required for the business levels.
