Job description summary
As Service Coordinator, you provide administrative support to the Benelux Cluster by following administrative and accounting systems, procedures and policies in order to ensure effective and efficient operations.
You work in pool in order to share best practices and to ensure business continuity.
This list of responsibilities is not exhaustive, and you will be involved in other activities if there is a need or a willingness from you.
Your responsibilities:
Provide the highest level of satisfaction by aiming to meet andexceedexpectation of the Benelux organization
Respond to any complaints in a timely manner and in first instance striving to resolve any issues raised
Contribute to the identification and implementation of more efficient operating practices and procedures and where applicable within the company
Ensures that the administration of the Benelux organization is done in adherence to the companies policies and procedures
Be the first check for MAH100/MAXX CRM
Help and support for preparing and sending AHCP agreements
Ensure the follow-up of financial processes from order to payment
Participate in budget meetings with Financial Planning
Give input to the budget owners on budget status
Create and manage vendors follow internal guidelines
Working collaboratively with the other Team members
Pro-actively ensure coordination between units in resolving day-to-day administrative and operational problems
Day-to-day administrative support is provided in a timely manner (Requests from all BNL Cluster Colleagues)
Maintain accurate and up to date contact details (Distribution list, Newcomers,, access, ...)
Follow up and archiving of Analysis with guidance of our Technicals
Organize travels within the organization
Pro-actively prepare internal/external team meetings
In case of audit, prepare all supporting documents and manage auditors requests
Ensure effective document and record management in line with policies and procedures (Veeva Promomats archiving)
Provide assistance to projects to meet objectives
Disseminate information in a timely manner to all relevant parties
Actively participate in projects as required by business need
Be subject matter expert on assigned topic
Your profile:
Secretarial degree or equivalent
At least5years working experience in related field
Trilingual: French, Dutch and English
Excellent computers skills: Word, Excel, Poweroint
Very good organizational and planning skills
Problem solving and decision making
Ability to work independently as well as within a team
Focused on internal/external customer needs
Good verbal and written communication skills
Pro-active/flexible mind-set
