Job Description

Responsibilities:

  • Coordinate the multi-faceted tasks of the Sales and Marketing teams to ensure smooth operations and by providing assistance on internal processes including but not limited to submissions of Project rationale forms, Raising of Purchase Orders on SAP, Flight bookings through Travel Agent, Arrangements of all Sales & Marketing meetings within GCC etc.
  • Ensure solid & consistent record for the department including (documentation, filing, archiving & tracking).
  • Updatespreadsheets/databaseswith statistical, financial and non-financial information.
  • Act as PA for the Business Unit Director (documentation, slides preparation, Calendar etc.).
  • Full responsibility for organizing departmental meetings (arrangements, invitations, logistics, minutes, etc.).
  • Follow up with Marketing/ Sales teams on routine/timely bounded tasks.
  • Reports management through collection, consolidation, summarizing and analyzing.
  • Act as liaison between Business Unit director & other team members to ensure alignment and coordination.
  • Facilitateinter/intra-departmentalcommunication.
  • Reconciliation of expenses Vs budget (budget tracking & analysis).

Qualifications:

  • Fluent in English (written & verbal).
  • Previous experience in administrative role.
  • Competent in using MS office programs.
  • Diploma certificate in administration or related field (optional).
  • Well-organized. - Demonstrate cross-functioning abilities.
  • Excellent communication skills.
  • Familiar with filing & archiving methods.
  • Resilient in learning and applying new processes.
  • Strong problem-solving & analytical skills.
  • Able to meet multiple project deadlines & attention to details.
  • Event management skills. - Time- management skills
