Required/Minimum Qualifications

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, calendar management, and administration work for executive/upper-level management.
  • 3+ years of experience with Microsoft Outlook, Word, Excel, PowerPoint.
  • 2+ years supporting an executive in a face-paced, corporate environment.

  • Interpersonal, organizational, planning and time management skills.
  • Ability to work independently, deal with ambiguity, and to solve routine problems proactively and effectively. The aptitude for rolling with changing circumstances (direction and strategy) while continuing to have professional and positive interactions.

    Proficiency with MS tools - Outlook, MS Expense, My Order, MS Approval, MS Travel, Virtual Studios Online (VSO), etc.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $27.40 - $46.49 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $37.84 - $52.98 per hour.Certain roles may be eligible for benefits and other compensation. Responsibilities

Key Responsibilities include (but are not limited to):

  • Executive calendar management for a complex and rapidly changing calendar
  • Proactively manage a very complex calendar including travel and strategic prioritization of appointments
  • Ability to look ahead and understand the prioritization of key objectives and help manage the deliverables or priorities
  • Provide end-to-end complex domestic and international travel planning
  • Help drive the ROB (Rhythm of Business) scheduling and team calendar items
  • Coordinate staff meetings, events and offsites, including agenda management, meeting logistics, and material preparation.
  • Partner with the team’s Business Manager to effectively run the organization
  • Manage org size all up for 250+ person team
  • Understanding of the team budget, including Purchase Orders and expenses, and morale costs
  • Manage vendor accounts as needed through Contractor Hub and My Order
