As an In-Office Support Specialist, you will join our Essential Services team. You will provide day-to-day in-office support to the staff, senior and management teams in all aspects of business immigration client accounts.Skills and attributes for success
- Responsible for carrying out repetitive administrative processes in support of our clients and resolve administrative issues and concerns.
- Maintain exceptional record-keeping practices by organizing, classifying, and archiving all relevant documents and data online.
- Monitor key mailboxes, record, and update key immigration data across various internal systems. This includes diligently fact-checking each detail to ensure maximum accuracy.
- Compile documents including electronic notices, case files and other legal documents related to immigration processes.
- Track and validate detailed data and reports, highlighting issues for the teams’ further review.
- Strong administrative skills and ability to perform in a dynamic, time-sensitive environment.
- Effectively and efficiently manage multiple projects and competing deadlines with minimal supervision.
- Adapt to changing priorities and remain flexible to meet in-office support needs, take initiative and anticipate what is required to accomplish various goals.
- Assist with printing, photocopying, scanning, arranging, and monitoring correspondence.
- Prepare outgoing couriers including processing and printing courier labels using specialized courier computer terminals, and reviewing and sealing packages ensuring correct contents are enclosed.
- Comfortable with technology, specifically Adobe and Microsoft Office Suite.
- Eager to learn new technologies and further develop existing technology skills.
- Provide ad hoc support to team members when working on projects and document production.
- May be required to work extra hours during important deadlines (such as month, quarter, and year ends).
Qualifications
- Ability to be in the office M-F
- College diploma in Office Administration, Business or Communications is preferred.
- Experience working in an office setting, performing administrative tasks, and data entry.
- Exceptional attention to detail and ability to multitask.
- Excellent organizational, and verbal/written communication skills.
