You will play a crucial role in the end-to-end delivery of the company's extensive benefits programs across the EMEA region, with a predominant focus on pension schemes. This position encompasses the management and enhancement of primary benefit offerings, including pensions, medical insurance, and risk coverage options such as Accidental Death & Disability, along with a broader range of employee programs. These additional programs may consist of wellness initiatives, flexible benefits schemes, fitness offerings, meal vouchers, and various localized benefits tailored to specific regional preferences and compliance with legal requirements. You will drive the implementation of a streamlined benefits delivery model that emphasizes the design and documentation of processes promoting operational efficiency, with particular attention to pension administration.
Key responsibilities:
Project Leadership: Lead the benefits Request for Proposal (RFP) process across multiple EMEA countries. This includes the preparation of employee communications, coordination with vendors and Payroll to ensure accurate deductions in line with plan design and tax compliance, setting up enrolment and termination processes in collaboration with operational teams, and working with Procurement on the collation of terms and conditions documents to facilitate seamless benefit delivery to employees.
Pension Program Management: Design, implement, and manage pension plans tailored to meet both organizational goals and regulatory requirements, including legislative changes affecting pensions in the EMEA region.
Standardization of Benefits Delivery Model: Utilize the benefits delivery model to provide standardized solutions across EMEA, particularly around pension offerings, ensuring that processes are aligned with the HRS business model. Participate in global projects involving multiple countries with high complexity, taking ownership of renewals and remarketing efforts. Provide coaching and mentorship for junior roles, including HR Specialists and Benefits Analysts.
Vendor Management: Oversee supplier relationships related to pension plans, including regular reviews of supplier Service Level Agreements (SLAs) to ensure compliance and service quality. Ensure oversight and governance of third-party benefit suppliers that administer pension plans, monitoring compliance and the quality of services rendered.
Issue Resolution: Proactively resolve and communicate benefits-related escalations that concern benefit programs, ensuring timely and effective resolutions.
Key Experience & Capabilities:
Bachelor's degree
5 years of administration experience, with a strong emphasis on benefits administration, particularly in managing pension schemes. Previous experience in benefits strategy development and execution is highly desirable.
2 to 4 years of experience in project leadership or implementations, specifically relating to benefits programs with a focus on pensions. This includes overseeing the entire lifecycle of pension projects from conception through rollout and evaluation.
2 to 4 years of supplier management experience, including direct engagement with third-party administrators of pension plans. This should encompass the oversight of service level performance and ensuring compliance with regulatory and organizational standards.
Demonstrated experience in leveraging technology for effective communication and process automation in benefits administration. This includes a proven track record in implementing automated systems or digital solutions that enhance the employee experience in relation to pensions. Additionally, candidates should have substantial experience with tools specifically designed for the audit and reconciliation of benefits deductions, including pension contributions. Proficiency in utilizing these tools will ensure accurate monitoring and reporting of pension contributions, helping to identify discrepancies and ensuring compliance with regulatory standards.
