Your key responsibilities
- Consult with event sponsor and/or requester to understand end-end requirements of the event
- Conduct venue research in conjunction with our preferred meeting management companies and make recommendations on meeting location by taking a detailed brief ascertain all event requirements and suggest event solution(s)
- Comply and promote the firm guidelines/policies
- Manage elements of delegate management
- Consult with the event program manager to ensure EY brand compliance throughout the event and pre and post event communication process
- Drive cost efficiencies and negotiations with venues and suppliers, ensuring all value adds have been reviewed and exhausted with suppliers
- Prepare initial event logistics budget and manage throughout the event lifecycle
- Prepare on-site schedules and run sheets for event logistics for venues and suppliers the venue
- Coordinate with Technology Support to arrange special event production and on-site technology.
- Audit and submit for approval any program related invoices and provide full event reconciliation
- Responsible for the smooth running of the event on-site, anticipating any problems/issues and putting in place measures and solutions before they occur
- Ability to resolve any complex problems and effectively with minimal disruption, and using existing solutions
- Act as the main point of contact on-site for all suppliers, ensuring that all suppliers are providing the agreed level of service and actively resolving any issues
- Take overall responsibility for the delegation and direction of the on-site support team, adjusting planning where necessary
- Assist in other areas of Events as needed
- Support and devise ideas/best practices for the team to drive process efficiencies as well as contribute creativity
- Using Firms Guidelines and Procedures, this individual makes recommendations to internal clients regarding location and logistics on various sized events and initiatives
- This individual may also recommend solutions and provides guidance to other Event Managers and meeting requestors regarding specific aspects of a large event or initiative.
- Anticipates client’s questions and is prepared when dealing with internal clients.

To qualify for the role, you must have
- Must have a minimum 8 -10 years of event management skills and experience
- Must be experienced with all Microsoft Office Tools with competency in the use of Excel and PowerPoint.
- Excellent interpersonal and communication skills must be able to communicate clearly and with authenticity to senior leadership and stakeholders
- Must be able to work independently with minimal guidance
- High level of attention to detail and strong organizational skills are essential, with the ability to prioritise effectively
Ideally, you’ll also have
- Requires in-depth knowledge and experience of running large, logistically complex Global events
- Knowledge of meeting industry software, CRM, including web registration & digital marketing applications
- Demonstrable ability to interact with leadership, stakeholders, and peers
- Personal travel experience and geographic knowledge
- Interest on project management and technical/digital affinity
- Able to work virtually and with flexible shift timing
