Required Qualifications

  • 4+ years of proven relevant work experience
  • A great attitude and positive approach to people and tasks
  • Effective written and verbal communication skills, including teamwork, facilitation, and negotiation.
  • Should have experience managing executive visits, team events, budgeting, vendor management, procurement and asset management.
  • Maintain the confidentiality of highly sensitive material with tact and professionalism.
  • Ability to react with appropriate urgency to situations and requests.
  • Strong attention to detail with strong problem-solving and troubleshooting skills.
  • Strong organizational skills
  • Ability to build effective cross-group working relationships and work collaboratively with people at all levels of the organization.
  • Able to solve complex problems when they occur.
  • Consistently demonstrate a can-do and create a positive customer experience
  • Experience reviewing and managing administrative budgets (such as for events, morale, travel, training).
  • Be flexible, have a strong eye for detail, meet deadlines and be comfortable working independently
  • Proficiency with Microsoft software, including Microsoft Office and Outlook

Preferred Qualifications

  • 2+ years prior MS experience, proficient with MS internal tools
  • BA/BS degree is desirable but not required.
  • Project management experience
Responsibilities

Core priorities include but are not limited to:

Calendar Management

  • Provides calendar management and time planning support to the Leaders working across multiple products. Can quickly learn and align calendar based on knowledge of manager's priorities and operating styles, is proactive, agile, and flexible with calendaring, ensures preparation of meeting setting, and can manage ambiguous situations with high degree of accuracy and attention to detail. Also needs to manage community space/conference room calendars.

Rhythm of Business (ROB)

  • Gains deeper understanding of rhythm of business (ROB), key stakeholders, and interdependencies within the business and recognizes patterns. Helps to execute on business cadence (scheduling/meeting logistics) around the team ROB and identifies patterns. Proactively engages on ROB improvements as needed.

Onboarding / Offboarding Support

  • Collaborates with Global Talent Acquisition (GTA), myDevice team, IT, GSAM and other relevant teams to support smooth, quick and complete onboarding to internal and external new hires, interns, vendors, etc. Similarly, offboarding support for folks leaving the org or the company.

Travel Management

  • Provides travel arrangements using Microsoft tools (e.g., accommodations, transportation, security, group codes) for manager and/or group. May create itineraries for daily activities and learns to maximize trip itineraries. Ensures required documents are obtained for international travel. Follows travel policies and leverages guidance from Business Support colleagues as necessary.

Expense Management

  • Full awareness and sensitivity to Microsoft Policies and Procedures to support the Leader in verifying and approving Expense Reports. Also, ensuring that all relevant documents are available, personal expenses are correctly classified, and no concerns are raised by internal audit and compliance teams.

Team Support

  • Effectively plan and organize different team events. Coordinate off-sites including end-end logistics arrangements. Tune into the pulse of the team and anticipates their needs ahead of time and plan for the same. Single point of contact for all administrative tasks like raising purchase orders, verifying expenses as needed, updating internal tools, procuring gifts, mementos, awards, promptly assisting with team requests while ensuring compliance with corporate policies and procedures.

Event Coordination and Logistics

  • Supports planning, coordination, promotion, and support for events, celebrations, offsites and conferences. Assists with determining event needs and outcomes. May assist with and/or own creating event itinerary. Acts as a point of contact for events. Addresses any preparatory setbacks and escalates to Business Support staff as needed. Contributes to team morale and building team dynamics.

Exec Visit Coordination and Logistics

  • Working closely with the relevant COS (Chief of Staff) or Biz Mgr. in arriving at the agenda, and collaborating with EA (Exec Admin) in travel and accommodation plans for any visits from Executive Leaders. During the visit, ensuring that local transportation and hotel facilities are as committed, efficient and ready to manage any unexpected changes. Taking full accountability of the Exec – from arrival to departure, and everything in between to ensure a productive visit

Discipline Growth and Development

  • Actively participates in the Business Support community. May mentor other Business Support colleagues to helps others increase their understanding and ability to navigate through the organization. May support onboarding and training of new Business Support staff as applicable. Contributes to their organization's culture. Continues to shadow and learn from others and leverages mentorship from admins. Documents and shares best practices and insights.
