This is a demanding role which requires extensive support from a highly competent, proactive, motivated and organised individual. Experience of competing priorities, demanding coverage and strong teamwork is the key to success in this role.

The duties of the roles include but are not limited to:

  • Extensive calendar management for a team of 15 including 2 x MDs
  • Coordinating and scheduling of meetings and calls
  • Managing high volume of phone calls and emails, relaying information in a timely manner
  • Coordinating room bookings for internal/external meetings and VCs/Zooms across multiple locations
  • Coordinating travel arrangements for the team, including:
    • Visa applications
    • International flight & accommodation bookings
    • Car bookings
  • Arranging events
  • Implementing divisional policies and providing guidance to their team
    • Expense management and preparation
    • Taking on ad hoc tasks while maintaining workflow
    • Supporting teams in day to day issues, needs and queries
    • Providing phone / holiday coverage for colleagues

Skills

  • German speaker with fluent English
  • Excellent Microsoft Word, Excel and Outlook skills
  • Able to prioritize a variety of time-sensitive tasks
  • Demonstrates dependability and high attention to detail along with the ability to multi-task
  • Displays a consistent, professional degree of communication skills in person, on phone and by e-mail to senior level executives
  • Comfortable working with people at all organizational levels, internally and externally
  • Must be a team player that works well under pressure within a changing environment
  • Flexible and adaptable to work and support across multiple teams
  • Be resourceful and able to use own initiative in solving issues
  • Proactive attitude when managing diaries and workload
  • Discretion to deal with confidential business matters
  • Positive and approachable demeanour with a “can do, muck in” attitude
  • Experience working with large teams in a highly demanding environment is desirable
