Responsibilities we’ll trust you with:

  • Administration & Team Assistance

  • Receiving of invoices via post and email, coding and scanning invoices to AP

  • Submitting POs for admin/facilities supplies and keeping POs up to date

  • Assisting with the employee onboarding and offboarding processes

  • Assisting with the coordination and management of day-to-day facilities issues to ensure smooth operation of the office and services including but not limited to cleaning and building maintenance and repair

  • Ensure that meeting facilities are clean and operable

  • Organizing social events as required

  • Assisting with process management of internal processes

  • Acting liaison for Global Security assisting with employee ID badge distribution, visitor management processes, and other operational support tasks as needed ensuring security, safety and smooth operations onsite

Reception

  • Answering the telephone and taking messages

  • Welcoming visitors and providing visitor passes

  • Employee ID badge distribution and troubleshooting support

  • Post collection and distribution, managing of outgoing post

Logistics

  • Managing all shipments and associated documentation

  • Managing incoming office supplies

  • Ensuring compliance with export regulations and registration of shipments

  • Assisting with courier deliveries and collections

  • Ensuring company systems are kept up to date in accordance with policy

Travel

  • Support team with travel bookings through designated travel agency in compliance with company policy.

  • Handle visa requests and travel plans

  • Assist with submitting travel related expenses

  • Ensure all new employees have profiles on the NEO-KDS system

Health and Safety Coordination

  • Facilitating and chairing the H&S Committee meeting, Fire Marshal and First Aid meetings producing minutes and making sure actions taken at the meeting are completed in a timely manner.

  • Booking training courses for Fire Marshals and First Aiders and making sure training records are kept up to date.

  • Assisting with Site and Fire Risk Assessment and making sure any actions from the assessment are completed in a timely manner.

What are we looking for?

  • Ca. 5+ years of Team Assistant experience

  • Strong organizational skills with the ability to quickly assess and prioritize work requests

  • Excellent verbal and written communication skills in English and German

  • Strong IT skills – Word, Excel and PowerPoint

  • Proactive mindset - ability to take action without instructions and bring new ideas to the team

  • Must be self-starting and able to work unsupervised

  • Well presented, loyal and discreet

This is a full-time position based in our office in Berlin, Germany.

Minimum Qualifications:

• Bachelor's degree and 1+ year of Office Administration or related work experience.

Associate's degree and 3+ years of Office Administration or related work experience.

High School Diploma or equivalent and 5+ years of Office Administration or related work experience.

*Completed advanced degree in a relevant field may be substituted for up to one year (Master’s = one year) of work experience.
