Job Summary
  • Administrative tasks as support for the work of the production sector and the engineering and technology sector, in order to ensuring the normal functioning of both sectors
Essential Duties and Responsibilities
  • The job holder is aware of all relevant SOPs as per company policy as they are related to the position covered by this job description
  • Performs all duties in accordance with the company's procedures in the field of health and safety at work and environmental protection, as well as other valid legal regulations
  • Administrator in HCM system for the sectors of production and process engineering (entering sickness and overtime hours, changing shifts, correcting errors, support of employees for the system) and the duble checking of the incoming remittances and correction when it is needed
  • Tracking the work experience of employees who have fixed term contracts, keeping record of expiring meternity leaves and organization the start of work after returning from the same, tracking the training expiration
  • Contacting candidates for working in production and directing new employees in production on medical exams, organization of providing appropriate uniforms, informing about start of work and shifts in agreement with HR and department manager
  • Preparation of job applications / training requests/ conrtact extension and requests for transfers
  • Creating monthly movements lists of production and creating weekly schedules for production
  • Managing Headcount by months and updating lists by departments for production needs
  • Support in organisation business trips for production and engineering
  • Creating accounts for access to transactions and accounts for access for shared folders
  • Inquiry for offer, comunication with distributors, forwarding questionnaire to distributors about conditions of payment
  • Creating orders for purchase for production needs and cyclical orders for materials without SAP numbers and tracking the status of order - pruchase
  • Activity Service enter sheet for confirmation of supplier services performed, as well as for annual procurment orders (by contract)
  • Procurement of printed materials for production needs
  • Requistion of office suplies for production and engineering
  • Lamination and using documents for production and engineering needs
  • Printing tapes in color for marking batches in different stages of production
  • Receiving and sending mails – registration of arrived mails, informing employees about arrived mails, delivering mails, archiving documentation about sent mails
  • Creating different types of reports – daily report of production, monthly report of production, weekly report about sick leave and other absences
Additional Responsibilities
  • Distribution of monthly reports and other reports of production, as needed, on screens and LDMS boards in production
  • Purchasing defined awards for monthly awarding
  • Downloading and signing controlled copies from QA and distribution in production
  • Managing record and sending reports from Tier – 2 meeting
  • Managing „Nedeljnik” and its distribution
  • Reporting breakdowns of water and coffe machines and also for printers from production
  • Signing record of cleaning
  • Deputy Archivist
  • Processing of various documents by order of the Director of the Production Sector/Director of the Engineering and Technology Sector
  • Undertakes additional duties at the behest of superiors
Education
  • Minimun /Minimalno: Secondary school IV level
Preferred Knowledge, Skills and Abilities
  • Computer skills - (Word, Excel, Power Point, SAP)
  • Knowledge of the English language - (intermediate level)
  • Communicativeness , able to express oneself clearly in oral and written form
  • Teamwork, aware of the role of the team player and the role of team leader
