Key Responsibilities:

  • Project Documentation Management: Develop and maintain a standardised document/drawing numbering system, ensuring adherence to standards and expectations.
  • Document Processing and Quality Control: Accurately process and control all project document types, maintaining high-quality records of documents, drawings, RFIs, and registers.
  • Project Folder Set-Up and Maintenance: Formulate and manage project folders, act as the point of contact for document and drawing number allocation, and liaise with project teams and external parties.
  • Document System Expertise: Understand and utilise Jacobs' Document Templates System and provide support during audits, preparation of ad-hoc templates, and project reports.
  • Procedural Adherence: Follow the company's document lifecycle procedures and keep the project team updated on changes to control procedures.
  • System Improvement and Training: Assist in implementing new document management systems, improve processes, and train employees on the project documentation system.
  • Confidentiality and Security: Maintain confidentiality and security requirements for all project documentation.
Here's what you'll need
  • A bachelor’s degree or higher in Computer Science, Business Administration, Library Management, or a related field is preferable.
  • Demonstrable skills in SharePoint, Outlook, Word, Excel, and PowerPoint.
  • Experience with Document Control Management Systems. Familiarity with platforms such as InEight, Bentley, ProjectWise, and Aconex.
  • While we offer flexible working benefits, candidates should be willing to attend the Jacobs and client office 3-4 days per week.
