Roles & Responsibilities

The Real Estate Specialist is to provide support to the Subregional Head in strategic business partnering with stakeholders and ensuring the full spectrum of real estate and facility management are well managed; and to provide support on the full scope of finance and lease administration topics. It includes understanding and adherence to policies and processes, and interfaces across organizational boundaries relating to area of responsibility and may include team lead or supervisory responsibilities.

Operational Governance

  • Build and maintain healthy stakeholder/client relationships across multiple levels of the organization.
  • Liaise with all relevant internal functions including but not limited to Global Purchasing Organization, Corporate Controlling, Shared Service Centre, IT, GPS, project leads and partners etc.
  • Ensure key performance indicators (KPI) are achieved and service level agreement (SLA) are met for vendors/suppliers in compliance to SAP per contractual governance and requirement.
  • Ensure update-to-date and accurate documentation control are uploaded and maintained in the shared folders.
  • Undertake special and ad hoc projects, as necessary.
  • Ensure compliance with tax and statutory regulations.
  • Adhere to all SAP internal guidelines and processes.
  • Communicate effectively and timely.
  • Initiate and drive innovation and sustainability-related topics.

Real Estate Management

  • Lease management i.e., including review, documentation, renewal, termination, assignment, disposal, reinstatement, location strategy and optimization etc.
  • Engage in post-merger integration.
  • Collaborate with corporate real estate consultants to deliver best solutions for SAP.
  • Undertake ownership of local construction/build-out/improvement project execution, and ensure they are documented, completed on time and within approved budget.
  • Ensure Landlord/Building Management meet requirements of lease agreement Finance Management
  • Collate and review with SRH and Finance Lead all finance-related topics including but not limited to budgeting, forecasts, savings tracker etc., and ensure are submissions are completed on time.
  • Undertake yearly budgeting and monthly forecasts including accruals.
  • Ensure that the operating costs are kept within the facility budget.
  • Proactively identify potential cost savings opportunities
  • Monitor and advise Finance of asset write-offs.
  • Maintain expert knowledge on related financial systems.

Lease Administration

  • Single point of contact for all lease administration topics
  • Ensure lease administration system e.g., REFX is accurately updated and completed timely.
  • Maintain expert knowledge on related real estate and financial systems.

Experience & Language Requirements

  • Candidate will have 8-10 years of relevant experience in facilities and real estate management.
  • Regional experience will be an advantage.
  • Good command of both written and spoken English.
  • Bachelor’s degree preferred and/or adequate experience.
