You will join a team dedicated to the management of EU institutions Technical Assistance and Framework Contracts (policy evaluation, technical assistance, digital consulting, etc). You will support the entire proposal development process to ensure on-time delivery of compliant and compelling proposals and will manage the submission of the final offer to the European Institutions. Your role will include administrative support and communication tasks, both internal and external. You will also be engaged in project delivery and client interaction.Responsibilities
Act as the central point of contact between Client, EY colleagues and external parties on assigned proposals (mainly Requests for service under framework contracts), support the bidding process and coordinate it end to end from receiving the request until proposal submission, setting internal deadlines and following up on progress in a proactive manner;
- Support the responsible teams by analysing tender documentation, providing details of tender requirements, creating proposal templates, searching and gathering needed information, etc;
- Analysis of selection criteria, gathering and preparing needed documentation: administrative and legal documents, references, CVs (gathering, formatting and compliance check in accordance with tender requirements);
- Performing research on policy and legislative documents in order to identify the expertise needed for tender, selecting and engaging internal and external experts;
- Submitting the proposal to the Client;
- Ensure compliance with internal EY procedures and standards as well as with requirements set by the Client in the Terms of Reference, liaise with legal department for legal agreements and organise contractual arrangements;
- Support the teams throughout the duration of the projects, act as a coordinator among internal and external parties involved;
- Preparation of presentations drafts, reports, statistics;
- Manage communications with the client and with external consortium partners;
- Become a point of reference in terms of formal requirements, compliance and quality expectations, taking increasing amount of responsibilities with the aim of becoming a EU procurement specialist;
This role will involve administrative support, ownership and editing of documents, internal and external communication tasks, attendance of meetings with partners and clients.
Your profile
- Engineer, Business School, EU/political studies or government-oriented University Degree;
- Demonstrated knowledge of EU Institutions procurement procedures with 1-2 years of experience in managing calls for tenders and/or framework contracts with the EU Institutions ;
- Ability to work across the organization with proactivity, sense of ownership, effective communication and project management skills;
- Strong attention to detail, capable to navigate with ease through multiple tasks and able to work in a deadline-conscious, results-driven environment;
- Team player with the ability to build effective relationships at all levels of the organization;
- Willing to learn, self-driven and open to work in a multicultural team with a good degree of autonomy;
- Fluent in English (fluency in French and/or other European official languages will be a strong asset);
- Excellent skills in Microsoft Office package;
