The Red Hat Global Services team is looking for an Executive Assistant to support the Vice President of Services. In this role, you will manage and facilitate all aspects of business, as well as serve as the main point of contact between the executives, associates, business associates, and customers. You will manage the day-to-day office responsibilities, including calendar management, coordinating complex global travel arrangements and related expense reports, approving group expense reports, receiving and approving purchase requisitions, onboarding and ordering equipment for new hires, scheduling conference rooms, and planning and organizing large-scale internal and client meetings. As an Executive Assistant, you will also assist the executives with direct reports and prepare presentation materials for senior-level meetings.

Primary Job Responsibilities:

  • Provide important meeting preparation and backup

  • Anticipate the needs of the executives actively

  • Plan and organize travel (within budget) with detailed itinerary, necessary visas, preparations, etc.

  • Plan, organize, and manage high-level meetings and events from start to finish, including scheduling, reserving necessary meeting space, ordering catering, planning dinners, developing the agenda, etc.

  • Perform basic data analysis and project management as needed

  • Write and edit high-level internal communication, press releases, social media posts, etc. on the executives' behalf

  • Develop and facilitate the creation of slide decks for high-level presentations

  • Assist with the preparation of regular executive cadence reports, communicating with field consultant teams, finance, project managers, and data analysts

  • Help track the team's action items and status of tasks and initiatives

  • Facilitate teamwork across Red Hat and with our clients

  • Maintain an in-depth knowledge of company operations, policies, and procedures

  • Handle details of a highly confidential and critical nature

  • Collect and prepare information for use in discussions and meetings of executive staff and outside individuals

  • Make high-level contacts of a sensitive nature inside and outside of the company

Required Skills:

  • 6+ years of experience providing professional support to senior-level executives for a global organization, or a combination of relevant education and experience

  • Ability to resourcefully obtain solutions and results while exercising independent judgment and decision making, and operating within the scope of assigned authority

  • Ability to prioritize and handle multiple tasks and meet deadlines in a fast-paced environment while maintaining a high attention to detail

  • Excellent organizational and planning skills, with the ability to anticipate executives' needs and determine the best use of their time

  • Basic project management skills and experience managing internal projects

  • Ability to work well within a team as well as on your own, while maintaining a high level of confidentiality

  • Excellent verbal and written communication skills

  • Proficient using standard word processing, spreadsheet, and presentation applications

  • Experience using Google Applications at the enterprise level (slides, docs, sheets, calendar, gmail) is a major plus

  • Supporting additional executives working cross-functionally

The salary range for this position is $35.37 - $56.54. Actual offer will be based on your qualifications.
