Responsibilities
- Handle general telephone enquiries
- Act as first point of contact for visitors
- Oversee reception area and meeting rooms are well-kept at all times
- Provide general hospitality to guests/visitors, overseas team members
- Manage office meetings, conference room reservations and set up
- Maintain a calendar of all guests and visitors to the office and enforce security by monitoring logbook and issuance of visitor badges
- Handle courier receipts & dispatches daily
- Support office facilities management issues and requests
- Liaise with the building management for office maintenance and building security exercises such as fire drills, power shut-down
- Support office related finance and expense allocations in a timely manner
- Assist with the organizing of office and clients events and activities
- Send out office wide broadcasts
- Issue appropriate purchase requisitions and maintain office equipment, stationery and supplies for the office
- Update Staff Telephone List and Singapore office Seating Plan
- Manage calendar and schedule meetings
- Handle travel arrangements and CONCUR expense reimbursements
- Collaborate with other Admin Assistant teams when required
- Any other ad-hoc duties as assigned by the Management
Requirements:
- 6+ months of Administrative Support experience or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Desired Requirements:
- Several years’ relevant experience in office administration (experience in banking industry would be a plus)
- Strong verbal and written communication skills in English
- Excellent customer service ability
- Strong familiarity with computer applications
