As an Executive Administrator in the Applied Sciences Group (ASG), you will support the Vice President by performing a variety of complex administrative work. You will have the opportunity to work in a fast-paced environment where you will navigate a complex landscape and change direction quickly. You will communicate and collaborate with globally distributed leadership teams, and others at all levels of the organization.

Required Qualifications

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management.
  • Experience partnering with business leadership and other executive administrators.
  • Experience supporting a global team, with remote employees, dealing with ambiguity in a timely manner.
  • Experience and proficiency with Microsoft productivity software suite including Word, Excel, Outlook, PowerPoint, OneNote, OneDrive, SharePoint, and Teams.

Preferred Qualifications

  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training). 2+ years experience serving as mentor to others. Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $28.46 - $48.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $39.76 - $55.67 per hour.

Responsibilities
  • Manage and prioritize highly complex and constantly changing calendars, resulting in the VP staying focused on their business priorities, working efficiently, and ensuring they are fully prepared and timely for meetings.
  • Partner closely with the Chief of Staff, Leadership Team, and other key business stakeholders to ensure strategic time management for the VP.
  • Work with the Chief of Staff on aligning Leadership Rhythms, Customer and Partner engagements with the VPs calendar and ensure tight coordination of commitments.
  • Plan and coordinate domestic and international travel arrangements including the ability to map logistics pursuant to the cultural and business protocols; meet the travel requirements of the VP and traveling team; and partner with the Chief of Staff in planning meetings and logistics.
  • Work with the Chief of Staff on team headcount and space planning, including creating and updating people records in internal systems as needed.
  • Prepare, approve, and process business expenses for the VP and Leadership Team.
  • Work with the Chief of Staff on aligning the plan and oversight of the morale budget, spend, and events for the Business Management office.
  • Lead the broader Applied Sciences Group (ASG) admin team, providing coaching and mentoring to other FTE or vendor admins as needed.
  • Support business and team events, including but not limited to; global offsites, morale events and corporate events.
