You are responsible for
- General administrative tasks including supporting the smooth operation of the office.
- Agenda Management & Diary Management where required.
- Support the organization of meetings, conferences, events etc.
- Handle mail, scanning, processing. Arrange travel plans including hotels, coordinate where required
- Maintain databases.
- Ensure tenders documents have the required wet signatures and are returned to meet demanding deadlines.
- Support the Operations Excellence Managers with retained tasks from the GBS transition.
- Cheque administration and invoicing.
- Book Meeting Rooms.
- Support the credentialing processes for field based staff.
- Raise Purchase Orders.
- Support the Company administration of processing Expenses
- Support other administrators during holidays and sickness as required
- Provide flexibility with supporting other activities as necessary that will support Managers.
You are a part of
a highly supportive office administration team and you will report to the General Management Executive Assistant.
To succeed in this role, you should have the following skills and experience
- level 2 English and Maths or be happy to acquire this before your end point assessment
- Excellent communication skills; verbal and written
- MS Office Suite skills (Outlook, Excel, Word etc.)
- Attention to detail
- Flexible approach to a variety of stakeholders and tasks
- Manage a varied workload during the working day
- Initiative and drive to succeed
- Diplomacy due to sensitive nature of some tasks
