Your key responsibilities

Success in the role depends upon seamlessly managing all elements of the registration process, including the end-to-end delegate management, communication and customer experience. This includes:

  • Lead on the design and delivery of the overall registration process, delegate management and delegate communication for WEOY.
  • Be the main point of contact pre-event, onsite and post-event for registration queries and be the lead registration contact for our various external vendors and agencies to ensure consistent delivery across the workstream.
  • Manage onboarding external vendors for registration site build and event app technology
  • Oversee the build of the registration site, the testing phase, ongoing management of all data, including charges and billing. Ensure consistency with all other registration technology, including the event app, technology and suppliers for private meeting scheduling and/or Monaco experiences.
  • Create and manage all registration related communications (invite emails, reminders, joining instructions, app notifications).
  • Support with the coordination of micro forums and Monaco experiences.
  • Lead on the reporting and data management of attendees to communicate with various internal stakeholders.
  • Manage workflow and performance of internal support teams who assist with WEOY mailbox queries and reporting.
  • Create a consistent brand experience through all facets of the event.
  • Deliver exceptional client service across a complex stakeholder map of senior leaders.
  • Form part of multi-functional core teams to deliver events with a culture of high-performance, teaming, and achieving market impact by managing the work-plan, timeline and budget of all elements of the programme.
  • Work closely with Legal, Procurement and Independence, Meetings and Events to ensure compliance for all events.

To qualify for the role you must have

  • Experience of delegate management tools, including registration sites and related event technology applications.
  • Experience in a cross-border role, successfully managing multiple complex projects at a global level.
  • Considerable experience of delivering brand, marketing and communications projects in global organizations.
  • Experience managing diverse teams.
  • Outstanding communication abilities and experience.
  • Outstanding ability to multi-task with exceptional attention to detail.

  • Experience of working in a matrixed organization with multiple stakeholders to manage.
  • Experience of delivering multiple events on a global basis.
  • Experience of leading under extreme pressure.
