As an Executive Administrative Assistant in Home Lending, you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals.
You will be managing calendars, coordinating meeting invitations, arranging travel, processing expenses, managing expense exception queues, and managing projects such as team events and town halls.
Job Responsibilities
- Proactive management of calendars, including swift setup of meetings through coordination with a broad set of senior executives & their admin teams, timely production of meeting materials, and meeting location coordination
- Complete domestic and international travel arrangements: coordination of flights, hotels, visas, ground transportation logistics in accordance with company policy
- Organize and manage various business management related projects such as town halls and other employee events
- Coordinate and prepare materials for staff / team meetings
- Manage expense processing through Concur and order office supplies and manage expense exception queues
- Support staff onboarding and off boarding including technology setup and access requests
- Assist with overflow, special projects and peer back-up coverage
Required qualifications, capabilities and skills:
- Extremely organized and detail-oriented with strong time-management skills
- High proficiency with MS Office (Outlook, Excel, Word, PowerPoint)
- Self-starter with sense of urgency and professional demeanor
- Effective interpersonal skills that support a welcoming environment and positive team culture
- Must be able to prioritize and work overtime and support travel after hours as needed (not frequent)
- Motivated by collaborative environment and willing to go the extra mile
- High school diploma or GED, plus five or more years of experience in an Administrative or Executive Assistant role.
- Experience managing busy executive and multiple calendars and booking travel
Preferred qualifications, capabilities and skills:
- Willingness to learn business context and understand how and why tasks meet business needs
- Proven experience managing multiple priorities and ensuring projects are completed on time
- Bachelor's Degree
This position is 5 days in the office.
