The Impact You’ll Make in this Role

As an Executive Assistant you will have the opportunity to tap into your curiosity and collaborate with some of the most innovative and diverse people around the world. Here you will make an impact by:

  • Proactively anticipating work needs of executives supported
  • Scheduling and supporting on- and off-site meetings, video conferences and teleconferences and making necessary arrangements to set up meeting space
  • Creating and/or compiling meeting materials including agendas, pre-read material, presentations, surveys, and meeting summaries
  • Interpreting and administering corporate policies and procedures
  • Supporting paperless office environment using Microsoft One Note and Microsoft Teams
  • Performing administrative duties such as coordinating travel, managing calendars, reviewing, and routing incoming correspondence, maintaining organization charts, preparing, and maintaining Excel spreadsheets, database management, tracking and monitoring budgets, and preparing reports
  • Assisting with hiring process, talent review process and other Human Resource related processes
  • Assists in preparation and editing of presentations and documents
  • Maintaining teams SharePoint sites, Microsoft Teams sites, templates, etc.
  • Processing expense reports and system approvals
  • Maintaining highlight sensitive and confidential information
  • Oversees general office operations, including ordering supplies, managing office equipment, etc.

Your Skills and Expertise

To set you up for success in this role from day one, 3M requires (at a minimum) the following qualifications:

  • Bachelor’s degree or higher (completed and verified prior to start) from an accredited institution.
  • Two (2) years of combined experience in an administrative assistant function, secretarial, and/or clerical role in a private, public, government or military environment

-OR-

  • High School Diploma/GED or higher (completed and verified prior to start) from an accredited institution.
  • Five (5) years of combined experience in an administrative assistant function, secretarial, and/or clerical role in a private, public, government or military environment

Additional qualifications that could help you succeed even further in this role include:

  • Experience handling confidential, sensitive business information and supporting executive level professionals.
  • Advanced proficiency in MS Office including Outlook calendaring, Microsoft Teams and Microsoft Teams Live, Word, Excel, and PowerPoint
  • Strong attention to detail and excellent organizational skills
  • Strong written and oral communication skills
  • Ability to work in a hybrid environment, coming to the office to assist with on-site processes as needed.
