Assist the Pilot team with diary management, which may include: coordinating and allocating appointments, proactive management of meeting clashes and prioritisation including the hosting of teams meetings.
Assist the Pilot team with prioritisation of approvals and correspondence responses including email;
Book and coordinate travel and accommodation for Pilot team;
Provide office and program administration support to Pilot team e.g. coordinating meetings including sending meeting invitations, booking rooms, organising catering and assisting with the planning of reviews; minute taking;
Manage action items register, tracking and following up action item resolution including outstanding correspondence;
Raise Purchase Requisitions including monitoring status of workflow approvals and liaise with Procurement to raise Purchase Orders;
Liaise with executive level internal and external stakeholders;
Provide administrative support at meetings and conferences, which may include taking notes and preparing minutes, agendas and action statements;
Maintain the program filing system on SharePoint and in hardcopy where required; and
Maintain Pilot SharePoint site.

Key Experience & Capabilities:
Experience in Office Administration and data collation;
Experience in taking and compiling accurate minutes, undertaking research on a broad range of topics and organising meetings;
Intermediate to advanced skills in the Microsoft Office suite of applications;
Microsoft SharePoint user experience (intermediate);
Capability to communicate correctly across all levels of internal and external stakeholders;
Outstanding verbal and written communication skills;
Proven ability to work unsupervised and possess a positive can-do, agile attitude;
Must currently hold at least NV1 Australian Security Clearance; and
