The Coordinator must be comfortable working in a fast-paced and continuously changing organization that requires all employees to adapt quickly to new demands and tasks that arise in the moment. The ideal individual will have the ability to work independently on projects, from conception to completion, and must be able to professionally work under pressure to handle a wide variety of tasks or activities by multitasking and prioritizing.

How you’ll spend your day

All areas of responsibility listed below are essential to the satisfactory performance of this position by any incumbents with reasonable accommodation if necessary. Any non-essential functions are assumed to be included in other related duties or assignments.

  • Oversee the workflow of Promotional Support Requests (PSRs) from initiation to payment release:
  • Schedule and attend meetings for Promotional Support Requests (PSR). Ensure all relevant information is brought to the meeting and provide timing from initiation to payment release.
  • Monitor and assist team members in following the workflow of PSRs and payments (keep documentation of any skipped steps/signatures)
  • If procedures are not followed, document and provide appropriate designees with action steps to be taken.
  • Demonstrate proficient use of excel and SAP Concur to ensure timelines and financials are followed.
  • Review estimates vs. actuals report and provide financial timelines to appropriate business partners.
  • Develop timelines with input from relevant departments.
  • Maintain organized email archives.
  • Assist in the scheduling, planning, and execution of meetings to include Manager Meetings, Summer POAs, Quarterly Business Reviews.
  • Participate in project-related support to the Field Sales & Operations team:
  • Prepare and maintain projects on SharePoint to reflect accurate job history
  • Tracking and prioritization of projects in an evolving environment with attention to detail, accuracy, and timeliness
  • Perform other job-related tasks as assigned to support the Commercial Enablement and/or Commercial Training & Development teams.
Your experience and qualifications

Any equivalent combination of education, training and/or experience that fulfills the requirements of the position will be considered.

Education/Certification/Experience:

  • High School degree required; Bachelor’s degree preferred
  • Experience required: 0-1+ years’ experience in a fast paced, business environment (pharma/healthcare industry a plus)
  • Experience with SharePoint, OneDrive, Microsoft suite of software

Skills/Knowledge/Abilities:

  • Excellent written and oral communication skills
  • Detail oriented
  • Ability to handle multiple projects and deadlines
  • Proficiency with MS Office to include proficiency in Word, Excel, PowerPoint, OneNote, and Outlook
  • Proactive and forward-thinking individual who actively seeks opportunities and proposes solutions
  • Highly resourceful team player with the ability to also be extremely effective independently.

TRAVEL REQUIREMENTS

  • Domestic travel approximately 5-10% of the time.

PHYSICAL REQUIREMENTS

  • Use a computer, including participating in face-to-face video meetings on camera
  • Sit or stand for extended periods of time
  • Travel as required, which may include travel by car, train, or plane
  • Occasionally lift up to 20 pounds
  • Occasional bending and/or twisting

WORKING ENVIRONMENT

  • May be required to wear personal protective equipment (PPE) as needed on site visits (i.e. safety glasses, hearing protection, gloves, etc.).
