Responsibilities:

  • Manage headcount forecasting - review requests to add staff/contracts and ensure they are within the budget. Compare green dollar forecast with project time tracking. Review actuals and resolve discrepancies. Track contractors and employee requests/requisitions.
  • Assist in Contract Execution - ensure appropriate process is being followed for new Statements of Work and partner with the managers, vendor and procurement to get approvals and contracts executed.
  • Provide required guidance on the Program / Project governance rules, financial governance, and Book of Work maintenance in Project Tracking System.
  • Assist in the Software Management Process, as needed
  • Drive administrative, operational, reporting and quality improvements through partnership with internal teams
  • Manage financial control by applying a comprehensive understanding of the department Profit & Loss (P&L), including appropriate accruals, client allocations, the impact of capitalization, recovery and fixed price contracts in order to improve operational efficiency and productivity
  • Responsible for all cross product technology, regulatory and administrative duties in conjunction with the team, including financial, staffing, quality, risk and regulatory matters
  • Execute vendor management activities, including ensuring legal requirements are met and coordinating contract negotiation and processing
  • Provide oversight of the Business Critical Milestone Reporting process and other reporting processes to ensure quality, efficiency and accuracy
  • Ensure headcount is accurate, real estate is inventoried and planned, and onboarding and termination of resources are managed
  • Work with Technology leadership to support the Business People strategy as well as the Communication strategy for the department
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency, as well as effectively supervise the activity of others and create accountability with those who fail to maintain these standards.

    Qualifications:

    • 6+ years experience
    • must be extremely organized, motivated and a self-starter
    • Ability to prioritise is key as is ability to juggle several tasks at once.
    • Must work well under pressure whilst, enthusiastic, hard-working and positive
    • Desire to improve processes
    • Advanced level Microsoft Suite experience including Excel, PowerPoint Presentation
    • Experience in Vendor management
    • Track record as a Chief of Staff within the Financial Services/Investment Banking industry.
    • Excellent oral and written communication skills and ability to facilitate discussions
    • Ability to quickly grasp and master new concepts / requirements and related product / functional knowledge
    • Experience of working with Agile Methodologies and Tools.
    • Team player and relationship management skills
    • Ability to work under pressure and manage tight deadlines
    • Ability to learn/understand some technical implications of system design
    • Willingness to ask questions, challenge the process and seek out answers
    • Ability to work independently, multi-task, and take ownership of various parts of a project or initiative
    • Excellent analytical and problem solving skills


    Education:

    • Bachelor’s/Universitydegree, Master’s degree preferred
