Job responsibilities:
- Work directly with the Executive Director to support all aspects of his daily work routine
- Maintain the Executive Director’s calendar, including scheduling meetings, appointments. Exercise discretion in committing time and evaluating needs.
- Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
- Assist the Executive Director in the development of presentations materials for internal and external audiences.
- Book travel, travel accommodations, and other travel-related logistics (flights, hotels, visa applications, etc.)
- Coordinate travel arrangements, prepare itineraries, and plan logistics
- Prepare, reconcile, and submit expense reports while adhering to company guidelines
- Maintain confidentiality of highly sensitive information
- Routinely perform a wide variety of support duties.
Required Qualifications, Skills and Capabilities:
- Experience in supporting a senior executive or team
- Comfortable interacting with high-level executives
- Excellent computer skills, including Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel), Adobe Acrobat
- Exceptional writing, editing, and proofreading skills
- Excellent organization and time-management skills
- Exhibits sound judgment with the ability to prioritize and make decisions
- Capable of cultivating productive working relationships across the firm
- Detail-oriented self-starter, energetic and eager to tackle new projects and ideas
Preferred qualifications:
- Familiarity with the financial/wealth management industry is a plus
- Prior experience in the financial services industry or with a technology team
