The Executive Assistant (EA) is responsible for providing diverse, advanced and confidential administrative support, including extensive calendar management, coordinating travel, processing expenses, creating presentation materials and event planning for in-person meetings and offsite events. The EA relieves management of administrative details and gathers, compiles and reports information relevant to/for the executive. The EA may act as the liaison to outside groups coordinating events where the executive is a corporate chair, director or committee member. The EA communicates with executives and line management to gather/convey relevant information and may compose, sign and release complex correspondence. The EA is involved in high-level exposure to the most senior executives of the Private Bank and sensitive information, and must use considerable tact, diplomacy and judgment.
Qualifications:
3+ years of administrative support, preferably executive level within a financial institution. Business support, project management and/or high net worth line of business experience preferred.
Exceptional communication skills, both verbal and written, with the ability to build relationships and effectively communicate with internal teams and executive level management to gather and convey relevant information.
Strong analytical and organizational skills with the ability to manage different and conflicting objectives, projects and/or activities at once while maintaining a high level of client service and attention to detail.
Proficiency in key applications including Outlook, Word, Excel, PowerPoint, OneNote, WebEx and SharePoint. Advanced proficiency in PowerPoint and Excel preferred.
Proactive self-starter, motivated and with an aptitude to learn quickly under pressure in a fast-paced environment with the ability to manage within tight deadlines.
