Key Responsibilities

  • Provide top-quality administrative support to the Global Client Service Partner, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Act as a liaison between the Executive and internal/external stakeholders, ensuring effective communication and timely responses.
  • Manage and prioritize incoming communications, including emails and phone calls.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • Assist in the planning and execution of client events, meetings, and conferences.
  • Manage special projects and initiatives as assigned by the Executive.
  • Maintain and organize files, records, and documentation to ensure easy access and retrieval.
  • Support strategic planning and decision-making processes by conducting research, analyzing data, and preparing reports.
  • Coordinate and oversee cross-functional initiatives and projects, ensuring alignment with the Executive's strategic goals and objectives.
  • Build and maintain strong relationships with key client contacts and team members.
  • Demonstrate curiosity and take initiative in all aspects of the role, proactively seeking ways to enhance support and contribute to the team's success.

What we look for

  • Minimum of 7-10 years of experience as an Executive Assistant, preferably in the Financial Services Industry.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong written and verbal communication skills in English and German, with a keen attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
  • High level of integrity, professionalism, and discretion in handling sensitive information.
  • Strong interpersonal skills and the ability to build and maintain relationships with stakeholders at all levels.
