How you’ll spend your day

Essential Duties & Responsibilities:

  • Coordinating both onsite and offsite meetings and providing comprehensive administrative support. This includes: (a) collaborating with event coordinators to select hotels/venues, (b) sending periodic communications to the group regarding hotel room reservations, (c) printing meeting materials, and (d) arranging food, name tags, tent cards, and other necessary meeting requirements.
  • Schedule and coordinate meetings, appointments, including logistics such as room bookings and equipment setup.
  • Prepare PowerPoint slides with graphics for executive and customer presentations
  • Prepare monthly expense reports and Coordinate travel arrangements, including flights, accommodations, and transportation.
  • Responsible for the monthly reconciliation of purchasing card
  • Provide administrative support to various functional groups, including tasks such as mailing, emailing, and scanning documents.
  • Assist in the planning, coordination, and execution of culture initiatives and employee engagement programs
  • Perform various office administration duties, including reordering office and kitchen supplies, as well as preparing for departmental meetings, etc.
  • Monitor the completion of training courses, etc. as needed
  • Work on ad hoc assignments with other administrative personnel
  • Support the Senior Executive Assistant with daily administrative tasks and projects and act as a backup to the Senior Executive Assistant in their absence.
  • Proficient in Microsoft Excel, PowerPoint and Concur.
Your experience and qualifications

Education Required: HS Diploma or GED required
Education Preferred: Bachelor’s degree highly preferred
Experience Required: 5-10 years of experience in a high volume, fast faced environment. Equivalent combination of education and experience will be considered.
Experience Preferred:

-Proficient in Microsoft Excel, PowerPoint and Concur.

-Organized, detail oriented, have the ability to multi-task and manage changing priorities.
