Key Responsibilities:

  • Oversee all administrative functions at the Tel Aviv office, including managing office supplies, food, and maintenance while ensuring budget compliance. Supervise cleaning and facility upkeep on-site.
  • Manage administrative needs for the Kiryat Malakhi (KM) production site, including office supplies, food, and welfare activities[YG2] so forth. This role is primarily remote but requires periodically on-site visits at least twice a month or as needed.
  • Welcome and assist visitors, including candidates, vendors, and guests, ensuring a professional and hospitable experience.
  • Maintain close communication with stakeholders across the organization and coordination with HQ in Petah Tikva [YG3] to support administrative tasks, deliveries, IT services, operations, and HR matters.
  • As part of our Admin team, you might need to work in our Petach Tikva HQ office upon need, to ensure smooth and collaborative process across the team.
  • Provide employee support for various needs, such as parking arrangements, gym memberships, and liaising with HQ, landlords, or external providers.
  • Assist in planning and executing company welfare events at the Tel Aviv office and KM Production site.[YG4]
  • Oversee the onboarding process for new hires and manage offboarding procedures for departing employees.
  • Handle additional operational tasks as assigned by the direct manager.

Requirements:

  • Experience: Minimum of 3 years as an administrative assistant, receptionist, or in a similar role within a fast-paced environment.
  • Education: Bachelor’s degree (B.A./B.Sc.).
  • Language Skills: Proficiency in spoken and written English.
  • Technical Skills: Strong command of Microsoft Office tools (Excel, Word).
  • Organizational Skills: Excellent time management, problem-solving, and multitasking abilities, with a strong capacity to prioritize tasks effectively.
  • Work Commitment: On-site role, 5 days a week during regular working hours, with a willingness to stay extra hours as needed.
  • Communication & Interpersonal Skills: Strong customer service mindset, excellent communication, and a positive attitude.
  • Adaptability: Eager to learn new skills and take on new challenges.
